Job summary

We are looking for a motivated and enthusiastic person with the ability to work as part of our administrative team.

The successful applicant will need to be computer literate and have good communication skills. They will also provide a courteous, efficient and effective reception service to all patients and other staff members.

Main duties of the job

To assist in the smooth running of the practice in general, and the reception area in particular. To project a positive and friendly image to our patients and other professionals who may contact us either in person or via the telephone.

Previous experience is desirable, however, full training will be provided.

About us

We are a single handed practice with a list of 2,700 patients. This is a great opportunity to work within our team of: 1 GP, Practice Manager, Practice Nurse, Clinical Pharmacist, Health Care Assistant and 3 medical reception staff.

TITLE OF POST: MEDICAL SECRETARY

RESPONSIBLE TO: GP & PRACTICE MANAGER

GRADE: Band 2

GENERAL DUTIES

To provide a courteous, efficient and effective reception service to all patients, other staff members and outside bodies. To ensure that filing, record keeping and distribution of documents are undertaken efficiently and promptly.

SPECIFIC DUTIES AND RESPONSIBILITIES

1) Re-organise and support the practice in the reception area. To report any problems to the Practice Manager

2) Delegation and assignment of work to other Medical Receptionists/Secretaries and work experience students in liaison with the Practice Manager

3) To maintain confidentiality regarding patient diagnosis and treatment at all times.

4) Answer in coming calls to the practice within the agreed timescale (within 3-5 rings).

5) Make new and follow up appointments. Receive and direct patients on arrival

6) Record all requests for visits and inform the GP as soon as possible.

7) Taking dictation from the GP and ensuring referral/private letters are typed within

48 hours.

8) Preliminary investigations if any complaints made against the Practice, and then

pass onto Practice Manager.

9) Print computerised repeat prescriptions (and deal with EPS) and ensure they are checked and signed before handing to patients.

10) Update change of names and addresses on computer when notified by patients.

11) Tidy and ensure safety of consulting rooms at the end of each surgery.

12) To ensure the security and maintenance of the practice filing system.

13) Responsible for stock checking of stationery and prescriptions and re-order as required

14) Attendance on training courses as determined by the Practice Manager.

15) To cover other members of staff for holidays, sickness and emergency or for any

other reason. To liaise with all other staff and also to do split shifts. Responsible

for the smooth running of the practice on a daily basis and ensure cover at all times.

16) Scanning and read coding hospital post

17) Summarising patients records using the appropriate policy

18) Ensuring a correct record of solicitors requests for photocopies is kept and the correct fee is recovered.

19) Ensuring all medical records are tagged and kept in chronological order (10 medical records tagged on a weekly basis).

20) Ensuring all tasks delegated by the Practice Manager or GP are completed appropriately in the best possible manner ie cytology recall etc.

21) Safeguarding Take responsibility of identifying and reporting anything in relation to this. Keep abreast of new changes and attend any training sessions as identified.

22) Any other duties asked by Doctor or Practice Manager.

COMPUTER

1) Overall responsibility for reporting faults with equipment to EMIS and keeping an up-to-date log book to ensure follow up of complaints.

2) Ascertain a good working knowledge of the computer system to assist in training other staff.

3) To meet the future demands in the Practice and to ensure that accurate data is entered into the system.

4) Any other duties as deemed appropriate.
