Job summary

We are looking for an enthusiastic and self-motivated Medical Secretary to join our friendly practice team.

The ideal candidate would have experience of using EMIS System, good sound knowledge of medical terminology, and have worked as a Medical Secretary within the NHS.

Main duties of the job

To provide an efficient copy typing and word processing service for GPs and Health Professionals as required. This includes the typing of letters, reports, patient referrals and notifications in an accurate and timely manner.

  • To make appointments and bookings as required using the E-Referral Service wherever possible.
  • To establish and maintain filing and administrative systems so that written or computer information is easily accessible and secure.
  • To receive incoming and initiate outgoing telephone calls in order to facilitate timely and appropriate communications with others, taking messages and dealing with appropriate queries.
  • To maintain the computer system in an accurate and secure manner.
  • To consult the internal communication portal on a daily basis.
  • To check and ensure all two week wait referrals have been received by hospitals.
  • To assist with the gathering of statistics and information when required.
  • To provide cover for members of the secretarial team during periods of sickness and annual leave.
  • To receive and dispatch mail.

Job responsibilities

The successful candidate will provide administrative support to ensure the smooth running of the practice. The position available up to 37 hours per week ,Monday to Friday.

Previous experience of working within a primary or secondary care setting is desirable, but we encourage applications from candidates who have transferable skills and willingness to undertake suitable training to upskill if required. The post is subject to a DBS check

You must be organised, self-motivated and forward thinking, with excellent communication skills. It is important that the candidate is confident, empathetic towards patients contacting the practice and can remain calm under pressure whilst multi-tasking. You will also be required to deal with queries and GP requests. The candidate must be enthusiastic and computer literate. Knowledge of medical terminology would also be an advantage.
