Job summary

To provide an efficient, accurate and timely secretarial and administration service to the doctors, Practice Manager and other team members

Main duties of the job

Main Duties

Audio and copy typing of letters, reports and other documents as required by the partners, Practice Manager and other team members

Liaise with hospital and community departments regarding patient care, appointments, etc., incorporating e-Referrals and maintaining accuracy and confidentiality

Ensure telephone enquiries are dealt with in a courteous and timely manner and take messages as appropriate

Administration Duties

Prioritise and action tasks as required by the Practice

Monitor e-Referrals worklists

Use initiative when problems arise by taking appropriate action to resolve or referring to the appropriate person

About us

We are a well-established friendly 8 partner GP Practice in the heart of Borough Green, Sevenoaks. We have excellent team of loyal staff including a four person secretarial team.

This would be a full time position of 37 hours per week. We offer 25 days holiday allowance per year (January to December) plus designated Bank Holidays. We also provide an additional discretionary day of leave for your birthday if it falls on a working day.

You would automatically be entered into the NHS Pension Scheme.

We are also able to provide free on-site parking.

Duties and Responsibilities

Secretarial Duties

1.

Audio and copy typing of letters, reports and other documents as required by the partners, Practice Manager and other team members

2.

Liaise with hospital and community departments regarding patient care, appointments, etc., incorporating e-Referrals and maintaining accuracy and confidentiality

3.

Ensure telephone enquiries are dealt with in a courteous and timely manner and take messages as appropriate

4.

Send, receive and distribute faxes and emails

5.

Ensure documents are sent for scanning as appropriate

6.

In turns to take and distribute minutes of Secretaries meeting

7.

Undertake photocopying as required

Qualifications

Essential

  • GCSE grade A to C in English and Maths
  • Secretarial experience

Desirable

  • Medical terminology
