Job summary

We are looking to recruit a highly motivated person to join our busy but friendly patient care centred practice of 14,200 patients.

Main duties of the job

The main duties will include: booking appointments by telephone, dealing with patients face to face at reception, general patient queries and the day to day running of the reception desk and office.

The Caxton Surgery is a practice of 14,200 patients in Oswestry, North Shropshire.

We have a large multi-disciplinary team of Doctors, Nurse Practitioners, Practice Nurses, Clinical Pharmacists, Care Co-ordinators who our large and friendly administration team support.

Job responsibilities

Job Title: Receptionist

Responsible to: Office Manager

Purpose of job:

  • To provide administrative support to clinicians in a primary care setting
  • To ensure effective communication between Patients, Doctors and other Professional Staff
  • To assist in maintaining an accurate and effective clinical database
  • To protect patient confidentiality in accordance with statutory regulations and surgery policies and procedures

Main duties/Key tasks:

Answer the telephone and make calls as required in a polite and efficient manner, taking messages and taking necessary action as directed by practice procedures.

Respond to all queries and requests for assistance from Patients and visitors, or refer to appropriate person.

Organise routine and emergency schedule of appointments, home visits, telephone calls and liaison with other agencies. Gather information relevant to the request and direct to the appropriate team member.

Sort and distribute internal and external paper and electronic mail to GP consulting rooms.

Maintaining financial system for receipt of payments for private certificates, reports etc.

General office duties including use of photocopier, shredder, scanner and fax machines

Maintain electronic filing systems by scanning and coding patient data including new registrations and patient deaths.

Ensure effectiveness of appointment system and monitoring flow of patients in the surgery. Signpost patients to the relevant clinician or service.

Participate in clinical audit process, initiating and acting upon patient searches.

Participate in a staff rota for preparation of refreshments for staff and GPs

Shop for surgery provisions as required

Participate in a programme of appraisal and training

Comply with all Practice policies paying particular attention to health and safety regulations
