Job summary

Forest Health Care are looking to recruit a part-time Medical Administrator to join our friendly practice.

Administration work within a GP surgery is varied, interesting and can be technical in nature. If you have the ability to prioritise effectively, to work capably, calmly, productively, accurately and professionally under pressure, if you have good attention to detail and are competent and confident in use of IT systems and software, then this could be the role for you.

Prior experience in a similar role would be an advantage but not essential as full training will be given.

Working pattern and hours to be agreed with the successful candidate.

Main duties of the job

To provide an efficient and professional link between the patient and clinical staff.

To offer general assistance to the practice team and project a positive and friendly image to patients and other visitors, either in person or via the telephone

To receive, assist and direct patients in accessing the appropriate service or healthcare professional in a courteous, efficient and effective way

To undertake a variety of administrative duties to assist in the smooth running of the practice including the provision of secretarial and clerical support to clinical staff and other members of the practice team

To facilitate effective communication between patients, members of the primary health care team, secondary care and other associated healthcare agencies

Main Purpose of Job:

To provide an efficient and professional link between the patient and clinical staff.

To offer general assistance to the practice team and project a positive and friendly image to patients and other visitors, either in person or via the telephone

To receive, assist and direct patients in accessing the appropriate service or healthcare professional in a courteous, efficient and effective way

Close Working Relationships:

Working effectively as part of a Practice team providing health care and support to patients.

Liasing with Doctors, Practice Nurses, District Nurses, Health Visitors and all other members of staff related to the Practice together with other agencies, both within the NHS and outside, associated with the running of the Practice to provide an efficient and professional service to patients.

The duties and responsibilities to be undertaken by members of the practice administration team may include any or all of the items in the following list. Duties may be varied from time to time under the direction of the Organisational Manager / Practice Manager, dependent on current and evolving practice workload and staffing levels:

To assist with administrative work as specified by the practice.

To be confidential in all matters and at all times, as laid down in your Contract of Employment.

To maintain accurate manual and computerised records and make full use of the computer system.

To communicate effectively with patients and the practice team at all times.

To be helpful and courteous at all times and work in a manner consistent with the Practice and Patient Charters and observe all Practice Protocols, Guidelines and Standard Practice Instructions.

To provide relief cover, and/or additional hours, with prior agreement, in times of sickness or absence in order to continue to provide optimum staffing levels throughout the practice.

To maintain a good standard of housekeeping within areas of work.

To adhere to all fire, safety and emergency procedures.

To use ones own judgement, resourcefulness, common sense and local knowledge, to respond to patients inquiries and requests, to prioritise personal work load and work without direct supervision.

Be flexible in the approach to work and have a willingness to learn and undertake new challenges and responsibilities.

To undertake all other reasonable tasks as required from time to time.
