Job summary

We have a vacancy for Team Lead - Data & IT to join the Practice team. The successful candidate will be responsible for the provision of information/data support to the Practice management team to facilitate business growth and lead on IT developments/projects within the Practice. The post-holder will support the management team on a day-to-day basis and provide an effective administration service to the Clinical Team to enable them to offer a high standard of care to patients.

The role is demanding but rewarding and strong leadership skills are required along with excellent communication and organisational skills. We are looking for an organised, friendly individual who can cope well with a busy workload and multitask accordingly. The successful applicant will work alongside an experienced reception/administrative team as well as doctors, registrars, nurses and other healthcare professionals across two sites.

Hours: 37.5 hpw (shifts can be worked over 4 or 5 days, however shifts may include 7:00 am start or 6:30 pm finishes to facilitate opening/closing of the Practice)

Main duties of the job

Previous general practice experience is essential for this role. The Practice uses the EMIS system. Working closely with the Team Lead Reception and the management team, the main duties of this post will include, but are not limited to:

- Supporting the management team in the operational delivery of reception services

- Lead IT projects/developments within the Practice

- Review and monitor QOF, Enhanced Services, LES/DES achievement ensuring the Practice meet the standard thresholds for achievement/payment

- Compile and run EMIS searches to support practice activity, including QOF targets, safety searches for prescribing and ad hoc searches as required

- Understand and effectively support the use of available EMIS resources to ensure efficient and effective recording of clinical information

- Manage/maintain the Practice website and social media platforms, including production of the monthly Practice Newsletter.

- Ensure excellent customer care is always delivered by the team

The Practices are situated with easy access to the A1 and the Metro Centre.

The Practice boundary covers Dunston, Whickham, Swalwell, Lobley Hill, Teams and some of Bensham.

Job description

Job responsibilities

  • Lead (in conjunction with the Assistant Practice Manager/Practice Manager) IT projects/developments within the Practice.
  • Have a clear understanding of QOF, other Enhanced Services (PCN DES, IIF) and ensure that practice data supports these requirements and that the Practice meets the standard thresholds for achievement and payments
  • Compile and run EMIS searches to support practice activity, including QOF targets, safety searches and ad hoc searched as requested.
  • Understand and effectively support the use of available EMIS resources to ensure efficient an effective recording of clinical information to support practice targets and supply training as required.
  • Manage/maintain the Practice website, Facebook and social media, and produce the monthly Practice Newsletter.
  • Diagnosing and solving IT problems and liaising with local IT Team to rectify any issues that cannot be dealt with by the Practice.
  • Ensuring staff access to EMIS, ICE etc and registering new accounts when required.
  • Updating and unlocking NHS smartcard access for Practice and ARRS staff.
  • Logging ongoing IT issues within the Practice to spot trends and underlying issues.
  • Treat all patient and other sensitive information confidentially.
  • Prepare the Practice premises for the opening of the surgery each morning and ensure that the Practice is secure at the end of each evening.
  • Understand and maintain the computer patient appointment system, ensuring all records are of patient registration are kept up to date.
  • Make patient appointments, notify patients of appointment changes including taking requests for home visits, document them and refer them to the doctor on call.
  • Answer the telephone and deal with any queries as they arise.
  • Deal with all aspects of registering new patients.
  • Contribute to the upkeep/running of the Practice/facilities when required.
  • Complete individual tasks that are delegated such as managing the recall system, arranging Health Checks, etc.
