Job summary

The Practice Administrator provides essential administrative and clerical support to ensure the smooth and efficient running of the GP practice. The postholder will work as part of the administrative team to deliver a high-quality, patient-centred service and support clinical staff in providing effective care.

They will manage patient queries, maintain accurate records, assist with data management, and help coordinate key practice processes such as referrals, recalls, and reporting.

Main duties of the job

Patient Administration:

Handle incoming patient enquiries via telephone, email, online services (eConsult, NHS App), and at the reception desk in a professional and courteous manner

  • Register new patients and update personal details on the clinical system
  • Process repeat prescription requests accurately and efficiently.
  • Schedule, amend, and cancel appointments as required
  • Manage incoming and outgoing correspondence, including hospital letters, test results, and other clinical documents

Clinical and Operational Support

  • Support clinicians with the preparation and filing of documentation for referrals, test results, & care plans
  • Manage document workflows, ensuring timely coding & allocation within the patient record
  • Assist with the monitoring of recalls and follow-ups (e.g. chronic disease reviews, vaccinations, smear tests)
  • Generate routine reports & assist with audits as required by the Practice Manager

Data and IG

  • Ensure patient information is recorded and handled in line with data protection & NHS confidentiality standards
  • Maintain accuracy and security of patient data at all times
  • Follow practice protocols and policies, including safeguarding, GDPR, & information governance procedures

Team and Communication

  • Work collaboratively with all team to ensure effective service delivery
  • Attend team meetings & training sessions as required
  • Support new staff and contribute to a positive & inclusive workplace culture

we are within top ten GP surgeries in Barking and Dagenham. we are based in Barking Community Hospital with other services providers. We pride ourselves with great access with late and weekends appointments as part of Enhanced access and on the day appointments for urgent medical problem.

We are also a local vaccination site for Covid -19 vaccination and outreach provider for residents of Barking and Dagenham.
