Job summary

RECEPTIONIST

We have a Job opportunity that has become available to join our Reception team.

If you are flexible, hard working, punctual and adaptable to change then this could be the job for you.

The successful applicant should be a highly organised, enthusiastic individual who is Computer literate with a good clear telephone manner and be able to work as part of a team, working to protocols.

There will be full training provided, with opportunities for further training to support the needs of the business.

Main duties of the job

The main duties of the Reception role:-

Answering the Telephone in a prompt courteous manner.

First Point of contact for Patients, being polite and empathetic at all times.

Booking and cancelling appointments.

Dealing with requirements of internal messaging system.

Emails.

Post.

About us

Our Organisation is based in Barking Essex,we have 8500 patients that we deliver effective, efficient healthcare requirements to in a timely manner. The workforce consists of five Doctors, two nurses and one nurse practitioner. We also have two pharmacists and three physiotherapists linked to our organisation.We have eight Staff members dealing with the day to day Reception and Administration duties

The aim of our organisation is to treat our staff and patients fairly and equally , with dignity and respect. To provide a highly effective, accessible, efficient and safe healthcare service.

Job responsibilities

Reception

Receiving patients consulting with members of Practice team

Deal with all general enquires, explain procedures

Handing completed repeat prescriptions to patient and checking names and address.

Be able to cover all reception position as necessary

Explain Practice arrangements and formal requirements to new patients and those seeking temporary cover and ensure procedures are completed

Advise patients of relevant charges for private (non General medical Services) services, accept payment and issue receipt for same

Visitors Book, visitors to be requested to sign the visitors book

Appointments

Process appointment requests for today and future appointments from patients by telephone and in person.

Amend and cancel appointments in line with the practice appointment procedures ensuring optimum efficiency of the appointment system

Administration

Scanning Process

Linking documents to patient clinical records

Processing Administration for NON GMS-Private Administration

Medical Reports/ Private Requests for Letters or Information for a Third Party

Computer

Process patients change of address computer data and medical records (have knowledge of Practice area.

Report computer problems to helpline following practice protocol

Telephone

Have working knowledge of telephone system, during and after hours.

Receive and make telephone calls as required. Divert calls and take messages, ensuring accuracy of details and prompt appropriate delivery

Other Tasks

Clear and re-stock consulting rooms after surgeries

Keeping the reception are, notice boards and leaflet dispensers tidy and free from obstructions and clutter

Any other tasks allocated by managers

Apply Practice policies, standards and guidance

Discuss with other members of the team how the policies, standards and guidelines will affect own work

Enter requests for home visits onto the computer system, ensuring careful recording of all relevant details and where necessary refer to duty doctor
