This position is a part time position (up to 30 hours) ; the hours are negotiable and will be agreed at interview.
Personal specification
- Excellent communication skills, including a polite and friendly telephone manner, a solution-focused approach with a professional appearance a uniform allowance is provided.
- Good organisation skills with the ability to multi task, working accurately and methodically to meet deadlines
- An excellent command of the English language, both verbally and in writing
- Computer literate and able to use internet, email, Word, Excel
- A minimum of 1 years experience within a customer service environment
- A minimum of Maths and English GCSE or equivalent qualification.
- The ability to be flexible (within the overall hours) to cover for absent colleagues.
- Able to work in a team, but use their own initiative.
Main duties of the job
Working Life
- You'll support the work of the department by taking on administrative and secretarial tasks for example:
- Typing
- Arrange meetings and take minutes
- Receive and initiate calls, dealing with appropriate enquiries
- Speak directly to patients and provide medical information, using practice guidance.
- Deal with post and emails
- You will have contact with patients and their families as well as health care staff and other administration staff
Training & development- You will get the training you need to do the job. This includes an introduction to the department, how to use the IT & phone equipment and the procedures to follow.
- You may be offered the chance to take a medical terminology course and IT courses for the systems we use.
About us
Scott Road is a busy GP practice based in Selby Town Centre, with a list size of circa 11,500 patients.
We have an incredibly supportive
team of 4 Partners and 4 Salaried GPs and provide a full range of services
under the PMS Contract. The clinical team is supported by a strong management structure with clearly defined teams for patient services, administration and estates management.

Summary:
The post holder will be part of the Patient Support team delivering a wide range of
administrative duties within the practice so as to provide the highest
standard of service to colleagues and patients.
Departmental
responsibilities will include being part of the team whose members share the
following:
- Are
competent users of the practices electronic clinical system, SystmOne, so as
to be able to book appointments appropriately, access patient records
efficiently and to ensure accurate maintenance of patient records
- Ensure
that all incoming paper based patient information is scanned into the
electronic system
- Ensure
that the referral management process into both primary and secondary care
operates efficiently and referrals are dealt with according to strict time
scales
- Action
tasks set by clinicians via computer system and emails.
- Communicate
with patients face to face and via the telephone in a manner that upholds the
reputation of the practice
- Process
prescription requests which come into the practice in a variety of ways. This
involves using the prescribing system, both manual and electronic, accurately
and efficiently, ensuring at all times that the protocol is followed
- Staff
the clinical results telephone line, providing test results to patients as
directed by the practice GPs
- Process
appointment requests from patients in person or by telephone
- Provide
secretarial support duties including the provision of an efficient audio and copy-typing
service within the practice. This
includes the appropriate lay out and accurate typing of letters, reports,
patient referrals etc.
- Are
competent users of Microsoft Office
- Become
competent in the use of bespoke software packages including, e-RS and Accenda
Gateway. Other software packages will be introduced from time to time. Training
is available for all non-standard packages
- Sort
and distribute mail both in and out, including the use of a mail franking
system. This includes dealing with
electronic mail coming in from hospitals
- Maintain
adequate stocks of medical and general stationery
- Plan and
book private medicals, ensuring that
clinicians receive appropriate paperwork for review including the receipt of
fees for such reports
- To work in accordance with written administration
policies and procedures
- Undertake
accurate filing of records, fax and photocopy as requested.
