Job summary

Lanchester Medical Centre is seeking a dedicated and enthusiastic Receptionist/Administrator to join our friendly and supportive team. This is a key role within the practice, providing front-line service to patients and essential administrative support to the clinical team.

We are a well-established practice with a dedicated administrative team, serving a patient population of approximately 4,200. Our commitment to delivering high-quality care in a welcoming and supportive environment is at the heart of everything we do. The practice operates Monday to Friday from 8:00am to 6:00pm, with extended hours until 8:00pm on Tuesdays. As such, flexibility is essential. We welcome applications for either a single 34-hour position or two part-time roles.

Main duties of the job

Reception & Patient Interaction

  • Greet and direct patients and visitors professionally and courteously
  • Handle appointment bookings, cancellations, and queries (in person and by phone)
  • Register new patients and temporary residents
  • Respond to patient enquiries and complaints sensitively and efficiently
  • Support clinicians during surgery sessions

Telephone Duties

  • Manage incoming calls and messages
  • Book appointments and home visits
  • Handle prescription requests and results queries
  • Liaise with external providers and services
  • Advise on ambulance transport bookings
  • Liaise with colleagues outside of the practice
  • Signpost patients to appropriate services

Administrative Tasks

  • Input and extract patient data using the SystmOne
  • Process incoming tasks and correspondence in a timely manner
  • Make referrals and liaise with TAPs/Secondary Care
  • Handle non-NHS report requests and collect payments
  • Scan, code, file, and manage requests
  • Maintain tidy and safe reception and waiting areas

Prescriptions

  • Process repeat prescription requests, including online requests
  • Raise prescriptions in line with practice protocols
  • Resolve prescription-related queries

General Duties

  • Observe health and safety guidelines
  • Perform general housekeeping duties
  • Carry out any other reasonable tasks as required
