Job summary

We are seeking a committed receptionist, who can demonstrate enthusiasm for working in primary care, with a genuine interest in working with patients and contributing to the delivery of high quality health care. Applicant should be courteous, highly motivated, pro-active, a good team player and able to project a positive and friendly image to patients/visitors

Main duties of the job

Main aspects of the role are to receive, assist and direct patients in accessing the appropriate service or healthcare professional in a courteous, efficient and effective way. Project a positive, friendly image to patients and visitors.

About us

We are a friendly and committed GP practice comprising of 1 GP partner, 5 salaried GP, an excellent nursing team of 6 x Nurse Practitioners, 3 x Practice Nurses and 3 x Health Care Assistants, and a supportive and experienced administration team. We are always delighted to welcome a new member to the team.

We are a two-site practice in Bradeley & Smallthorne, Stoke-on-Trent with a patient list of just over 14,000 patients. Our staff split their time between both sites, situated just a few minutes apart. We use EMIS Web as our clinical system, with Docman 10 used for document management and back office tools.

We are currently playing a key part in our community in the COVID vaccination clinic and opportunities will arise for the successful candidate to participate. We also run an extended access service within our PCN and you will also be able to apply for extra shifts in the evenings if you would be interested.

Job description

Job responsibilities

Greet patients and visitors to the practice.

Book in, amend and cancel patient appointment inline with practice appointments procedures ensuring optimum efficiency of the appointment system.

Ensure that patients are effectively signposted into appropriate slots as per protocol and clinician specification

Answering incoming telephone calls, ensuring calls are documented and redirected accordingly.

Signpost all requests appropriately and accurately in a time-managed manner

Receive and accurately record requests for home visits, assessing urgency in accordance with the Practices protocols. Print off home visit summary sheets.

Respond and/or redirect all patient and visitor requests accordingly.

Ensure reception and waiting areas are kept neat and tidy

Re-stocking of information leaflets/stationary ordering as appropriate

Undertake administration tasks as allocated on rota organised by Senior Receptionist.

Check emails on a daily basis.

Regularly check messages/notifications on EMIS to check everything has been actioned

Action start and end of day procedures as directed by Senior Receptionist.

As well as the reception team there is a need to work closely with GPs, nursing and office staff to ensure the smooth running of the practice, reporting any problems

Check all consulting rooms daily for scripts and any shredding waste.
