Job summary

We are currently looking for a hardworking and enthusiastic individual to join our friendly, GP Practice team in East London as a Receptionist. The post-holder will be responsible for dealing with telephone calls and checking patients in with their appointments, helping patients with their queries and undertaking other admin tasks in the Practice.

The role is suitable for someone who has admin and primary care work experience and they must be able to multi-task, hold excellent communication skills and has a passion for helping patients and able to provide excellent customer service.

Main duties of the job

The main role of the receptionist is to receive, assist and direct patients and visitors in the Practice in a professional, courteous, effecient and effective way. The individual must be able to provide general assistance to the Practice team and project a positive and friendly image to patients and visitors, both in person and via telephone. The individual must also be able to support the Practice team by supporting and undertaking in administrative duties.

We are a friendly GP Practice based in East London with a list size of 12,000 patients. We are a friendly, supportive, teaching, patient-centred practice committed to providing excellent patient care to the local community.

We have 3 GP Partners, 1 Salaried GP, 4 Long-term Locum Locum GPs, 3 Practice Nurses, 2 Clinical Pharmacists, 1 Pharmacy Technician, 2 Physiotherapists, 1 Paramedic, 1 Social Prescriber, 1 Mental Health Occupational Therapist and 1 Nursing Associate.

We offer in-house services such as Phlebotomy, ECGs and Travel Injections.

We have a large building to accomodate our patients and services. Car park is available and East Ham underground station is a 5 minute walk from the Practice.

Job description

Job responsibilities

Reception duties:

1) Ensure an effective and efficient reception service is provided to patients and any other visitors to the Practice.

2) Deal with all general enquiries, explain procedures and make new and follow-up appointments.

3) Using your own judgment and communication skills ensure that patients with no prior appointment but who need urgent consultation are seen in a logical and non-disruptive manner.

4) Explain Practice arrangements and formal requirements to new patients and those seeking temporary cover and ensure procedures are completed.

5) Receive and make telephone calls as required. Divert calls and take messages, ensuring accuracy of detail and prompt appropriate delivery.

6) Enter requests for home visits into the home visits book, ensuring careful recording of all relevant details and where necessary refer to Duty Doctor.

7) Action repeat prescription requests and ensure that they are ready for collection by the patient within 48 hours, in line with Practice protocol.

8) Take action on clinicians requests for further information/patient contact information etc. (including computerised practice notes), ensuring completion of all associated paperwork.

9) Advise patients of relevant charges for private (non-General Medical Services) services, accept payment and issue receipts for same.

10) Enter patient information on to the computer as required.

11) Prepare clinical rooms for surgeries, supply prescription forms and record numbers in use and ensure adequate supplies of consumables (including bottles, couch rolls, test request forms etc.).

Premises:

1) Open up premises at the start of the day when first to arrive, de-activate alarm and make all necessary preparations to receive patients.

2) When last to leave at the end of the day, ensure that the building is totally secured, internal lights are off and the alarm activated.

3) Ensure that all new patients are registered onto the computer system promptly and accurately

4) Make and serve refreshments for meetings, ensure the kitchen is kept clean and tidy and air and tidy the waiting room in turn with other staff.

5) Covering colleagues holiday and sick cover as required.

6) Process incoming and outgoing mail according to practice protocols.

7) Record actions taken in patient record where appropriate or in accordance with practice protocols.

8) Complete other Daily/ Weekly and Monthly core tasks to support to smooth running of the reception area

9) Any other administration duties as necessitated by the needs of the practice.
