Job summary

We are seeking an GP Practice Administrator experienced in clinical codingto join our busy, but friendly and supportive team. The ideal candidate will have a strong background in primary care administration, particularly in handling clinical correspondence and medical coding.

The role will primarily involve processing incoming document workflow and summarising patient records.

Main duties of the job

This role will involve managing clinical correspondence from hospitals and other healthcare providers. Ensuring that letters, test results, and referral information are accurately processed, distributed, and filed. Additionally, assigning clinical codes to patient records, which helps maintain accurate medical data for treatment, reporting, and audit purposes. This role requires attention to detail, confidentiality, and familiarity with clinical coding systems and practice management software.

Job description

Job responsibilities

Manage incoming clinical correspondence (e.g. hospital letters, discharge summaries, diagnostic reports) via Docman or other systems.

Allocate and process documents promptly, ensuring appropriate coding and forwarding to relevant clinicians.

Monitor and track the status of documents, ensuring nothing is missed or delayed.

Code relevant clinical information accurately using appropriate coding standards (SNOMED).

Maintain up-to-date and accurate patient records in line with national and local guidance.

Assist clinicians by identifying and coding QOF indicators, long-term conditions, and other key data.

Participate in regular audits and data quality improvement initiatives.

Maintain patient records and ensure confidentiality at all times.

Assist with administrative tasks as required by the practice.

  • Ideally minimum 1-2 years experience of working within a GP practice.
  • Knowledge of medical terminology and clinical coding systems.
  • Strong organisational abilities and attention to detail.
  • Proficient in using computer systems and software.

Desirable

  • Knowledge of clinical systems such as Emis and Docman.
  • Familiarity with QOF, Enhanced services and Digital reporting requirements.
  • Training in SNOMED CT or similar coding systems.
