Job summary

We are looking for an experienced Receptionist who is looking to lead and manage a small but efficient and friendly team of Reception and Administration staff.

Our Receptionists have the privilege of being the first point of contact for patients and other associated services and clinicians contacting the practice. Excellent written and spoken communication skills are key in order to be able to deal with any request in the most appropriate and timely manner. Experience in a similar role is essential, but either way you will be part of an experienced and supportive team, and ongoing training is regularly provided.

Main duties of the job

Our practice receptionists are responsible for undertaking a wide range of administrative and reception duties, including the provision of general support to the clinical multidisciplinary team. Duties can include, but are not limited to, greeting and signposting patients to the appropriate healthcare professional or service (care navigation), patient registration, booking appointments, processing of information (electronic and hard copy) and assisting patients as required. You will act as the central point of contact for staff and patients, the distribution of information, messages and enquiries for the clinical team, liaising with multidisciplinary team members and external agencies such as secondary care and community service providers.

Operating from two sites in Cardiff, Greenmount and Danescourt Surgeries serve a patient population of approximately 12,000 people. We are supported by our sister sites in Aberdare, where we operate two further GP Surgeries. We are a dynamic, friendly, fast-paced, multidisciplinary practice with a great supportive administration and clinical team.

The Senior Receptionist will assist the Managers and GPs in supporting and managing our patients and staff ensuring the safe, effective and efficient running of the surgery day to day. Effective and appropriate communication with the management team and colleagues and the adherence to Practice Policies and procedures for both the Senior Receptionist and staff is mandatory.

The Senior Receptionist will be responsible for the day-to-day Health and Safety of staff and patients and must ensure that confidentiality is maintained.

Work closely with colleagues in partner surgeries and provide support and cover as appropriate.

Job description

Job responsibilities

The main duties of the role are as follows:

a) Provide first point of contact for reception staff.

b) Responsible for maintaining reception supplies including general stationery and hospital investigation forms within Practice Policy and budgets.

c) Supervises reception staff, prescription and scanner staff on a day-to-day basis providing induction and training in line with practice protocols.

d) Undertake staff rotas and inform the Practice Manager of any issues.

e) First point of contact for patient enquires that cannot be dealt with by the reception staff.

f) First point of contact for GPs and all staff for reception information.

g) Ensure all Health and Safety policies and procedures are adhered to.

h) Arranges monthly team meetings for the reception team.

i) Ensure all staff undertake their duties appropriately and inform the Practice Manager of any concerns.

j) Ensures effective booking of baby clinics, injections clinics, coil clinics, etc to fully utilise the resources available.

k) Ensure childhood imms targets are met each quarter

l) Ensures patient referral letters are completed and sent within 24 hours and that the agreed safety net actions are taken by all staff.

m) Monitor the cleaning service and report any concerns to the Practice Manager.

n) Ensure all Vision lists are completed on a daily basis and show as green on the screen.

o) Process and effectively signpost patients to the appropriate healthcare professional depending on the presenting condition

p) Initiate contact with and respond to requests from patients, team members and external agencies

q) Data entry of new and temporary registrations and relevant patient information as required

r) Input data into the patients healthcare records as necessary

s) Scan patient-related documentation and attach scanned documents to patients healthcare records

t) Direct requests for information, e.g. SAR, insurance/solicitors letters and DVLA forms, to the administrative team

u) Manage all queries as necessary in an efficient manner

v) Support administrative staff, providing cover during staff absences

w) Complete opening and closing procedures in accordance with the duty rota

x) Maintain a clean, tidy, effective working area at all times

y) Monitor and maintain the reception area and noticeboards

z) Support all clinical staff with general tasks as requested
