JOB TITLE: RECEPTIONIST/ADMIN CLERK

REPORTS TO: PRACTICE MANAGER

As a small Practice, DFP operates a blended approach to supporting patient services, bringing Reception and Administration tasks and responsibilities into one team. We believe this offers far greater opportunity for individuals to develop a much broader set of skills and to experience a more varied role. As such, the post-holder will work within the Reception/Admin team, sharing a range of duties that support the slick operational running of the overall Practice.

Currently the post is for 10hrs per week contract, plus absence(Sick leave/Annual leave) cover. Time is from 1pm to 3pm/12noon to 2pm

Main duties of the job

The aim of the role is to:

  • Offer general assistance to the Practice team and project a positive and friendly image to patients and other visitors, either in person or via the telephone
  • Receive, assist, and direct patients in accessing the appropriate service or healthcare professional in a courteous, efficient, and effective way
  • Undertake a variety of administrative duties to assist in the smooth running of the Practice including the provision of secretarial and clerical support to clinical staff and other members of the Practice team
  • Facilitate effective communication between patients, members of the primary health care team, secondary care, and other associated healthcare agencies

The successful candidate will be able to work effectively in a team and on their own initiative. They will be confident in using the phone and in dealing with people face-to-face. They will be able to work accurately and methodically through the daily tasks, whilst remaining calm and measured when unexpected work comes through.

Job description

Job responsibilities

MAIN DUTIES:

  • Scanning /shredding paperwork after scanning

  • Coding of Clinical Correspondence under the guidance of the GPS on to the computer system
  • Handling all email and electronic communication
  • Extracting letters off Fusion for A & E and hospital discharges
  • Send NOP (not our patient) letters back to the originator
  • Running off A & E searches for attendances on a monthly basis and reporting back to practice manager
  • Dealing with Midwife queries on Monday morning
  • Photocopying Medical Records after checking that consent has been obtained and is less than 12 months old.
  • Requesting all photocopying fees up front and making sure that payment has been received before any photocopying is done
  • Assisting the Secretary when needed with clerical tasks
  • Adding New Patients on to the computer system
  • Opening Post (external & internal) leaving confidential post for the appropriate person
  • Taking post on a rota basis
  • Handling money from patients and issuing receipt via receipt book
  • Booking ambulances (transport to hospital)
  • Processing Repeat Prescriptions
  • Dealing with electronic tasks in a timely manner
  • Keeping reception posters up-to-date and making sure reception is tidy at all times and free from clutter
  • Responsible for posters for reception, informing patients of holidays, closures ect
  • Dealing with tasks given by ancillary staff, to be shared with along with practice secretary.
  • Cleaning of examination couches in consulting rooms and child play toy in reception as and when required, in line with infection control requirements and closing shutters in consulting rooms at the end of the day (if applicable)
  • Making beverages for staff as and when required
