Job summary

The role involves working closely with and supporting the Practice Manager in the day-to-day operations of the practice ensuring that in addition to oneself, the wider staff team are supported in fulfilling their responsibilities by providing leadership, management and guidance.

Main duties of the job

The Deputy Practice Manager is a critical role within the Senior Management Team (SMT). The SMT is led by the Practice Manager and consists of the Deputy Practice Manager, a Data Specialist Manager, a Finance Manager, and a Patient Services Manager. Managers with large teams are supported by Team Leaders within their respective departments. The Deputy Practice Manager will be expected to deputise for the Practice Manager in their absence.

Some flexibility is required, as you may sometimes need to work additional or alternative hours to cover for colleagues.

We are a long-established practice with approximately 22,000 patients. We are a very friendly team comprising of 54 staff members serving patients across Biggleswade, Sandy, Langford and the surrounding areas.

Job description

Job responsibilities

SPECIFICS

Regulation and Compliance

Implement systems to ensure compliance with CQC regulations and standards

Staff

Review and update staff job descriptions and person specifications, ensuring all staff are legally and gainfully employed

Act as the administrative lead for recruitment, including placing adverts and conducting pre-employment and DBS checks

Organise and oversee staff induction programmes, periodically reviewing them for effectiveness and making recommendations for updates as required

Manage the annual in-house staff survey process

Undertake regular supervision meetings and annual appraisals with line managed staff

Lead on practice team wellbeing initiatives

Lead on organising practice team events, such as the Christmas party

Lead on organising annual face-to-face Basic Life Support training for the clinical team

Oversee and maintain training records for the practice team

Support the Practice Manager with the effective management of disciplinary and grievance issues

Identify training needs and delivering training where appropriate

Work with and support the PCN Training Lead by suggesting topics for internal training for non-clinical staff delivered in protected learning time

Information & Technology

Lead on the management of the clinical system (SystmOne), including ensuring IT security and information governance compliance, and responding to and resolving local IT issues

Work with the PCN Digital & Transformation Lead to manage the practices communications channels (e.g. website and social media)

Develop searches, reports and audits on the clinical system (SystmOne), as required

Review and update clinical templates ensuring they remain current

Premises

Manage supplier contracts (e.g. cleaning, consumable supplies etc), including contract renewals, and deal with any issues that arise

Manage a budget for purchases of consumables and equipment

Manage supplier contracts (e.g. cleaning, utilities, insurances etc), including performance management, renewals and sourcing best value

Oversee the work of and provide support to the Facilities Supervisor

Manage premises health and safety, undertaking risk assessments and mandatory training as required

Service Delivery and Development

Manage DNAs, including identifying patients who repeatedly DNA and devising solutions to reduce occurrences

Participate in production of practice development plans

Review, update and roll out the latest version of the practice Business Continuity Plan annually, or sooner if required.

Undertake Data Protection Impact Assessments for new services and processes

Participate in planning and roll out of new services and processes

Provide colleagues with support to ensure effective the delivery of services

Monitor and disseminate information on safety alerts and other information relevant for the wider team

Lead in providing support to the practices Patient Participation Group

Together with the Practice Manager attend meetings such as monthly practice SMT meetings, weekly PCN managers meetings and monthly Partnership meetings

General

Be an integral, proactive member of the practice team, leading by example

Adhere to practice policies, protocols and procedure.

Undertake mandatory training

Support and participate in shared learning
