Job summary

We are seeking an enthusiastic, reliable, and proactive individual to join our friendly and high-performing team. As a key member of our reception team, you will play a crucial role in supporting both patients and clinical staff to ensure the smooth running of day-to-day practice operations. This is a busy and varied role requiring excellent communication, multitasking, and administrative skills

The ideal candidate will enjoy working in a patient-facing environment, demonstrate a professional and compassionate approach, and be confident using IT systems. While experience as a Medical Receptionist and knowledge of Emis, Docman, Accurx are desirable, full training will be provided. A commitment to confidentiality and a proven ability to follow processes are essential

Main duties of the job

To be responsible for undertaking a wide range of reception duties and the provision of general support to the multidisciplinary team. Duties can include, but are not limited to, greeting and directing patients, effective use of the appointment system, booking appointments, the processing of information and assisting patients as required.

To act as the central point of contact for patients, be responsible for the distribution of information, messages and enquiries for the clinical team, liaise with multi-disciplinary team members and external agencies such as secondary care and community service providers.

Job responsibilities

Reception & Patient Interaction

  • Greet patients warmly and professionally, both in person and over the phone
  • Book, amend, and manage patient appointments via the clinical system
  • Process telephone and online appointment and triage requests
  • Signpost patients to the correct service or clinician using practice protocols
  • Handle queries from patients, relatives, external organisations, and healthcare professionals with sensitivity and accuracy
  • Provide clear information on how to access medical services, including urgent care
  • Ensure the waiting area remains tidy, welcoming, and safe at all times
  • Follow pracitce policies

Administrative Duties

  • Maintain accurate patient records, including coding and data entry using EMIS Web or equivalent systems
  • Process new and temporary patient registrations
  • Scan and file patient-related documentation and correspondence
  • Assist in managing repeat prescriptions and liaise with local pharmacies
  • Prepare patient letters, referrals, and follow-up correspondence as directed
  • Support with insurance requests, Subject Access Requests (SARs), DVLA forms, etc.
  • Monitor and order office supplies, stationery
  • Undertake occasional local errands, such as purchasing staff or office supplies.

Team & Practice Support

  • Collaborate closely with GPs, nurses, managers, and the wider practice team
  • Participate in reception rotas, including opening/closing procedures and lunchtime
  • Cover for absent team members and assist in general admin tasks as needed
  • Support the Practice Manager and clinical team with projects such as patient engagement (e.g., Patient Participation Group) and health promotion activities
  • Attend team meetings, training sessions, and contribute to audit and quality improvement work
  • Act as a chaperone when required and in line with practice policy
