Job summary

We are looking for an enthusiastic, well-motivated, hardworking individual with excellent customer service and communication skills to join our friendly and busy surgery team.

Main duties of the job

The role will involve:

Delivering excellent communication to patients via the telephone and face to face

Booking appointments using Emis within the surgery and via the cross-organisational booking system.

Liaising with patients in a confidential manner

Updating clinical records as appropriate

Scanning and read coding

Workflow optimisation

Processing repeat prescriptions

Following up on results and clinic letters

Generating blood forms

General administration tasks

Active signposting

JOB DESCRIPTION

THE GRANGE SURGERY

JOB TITLE: Medical Receptionist/Administrative Clerk

REPORTS TO: Practice Manager/Assistant Practice Manager

MAIN DUTIES/KEY TASKS

Receiving patients at reception for appointments in a cheerful and professional manner at all times

Dealing with telephone calls promptly, cheerfully and in a professional manner at all times. Logging onto the phone system to help each morning and at busy times

Making/cancelling appointments for patients, doctors, nurses, in-house clinics

Data entry regarding patient contacts on computer whether by phone or letter

Solving queries, for example, prescriptions, chasing up hospital letters, results, etc.

Dealing with pathology reports, Emis and workflow systems

Generating repeat prescriptions

Keeping up to date with changes

Administration (yet to be verified as to the exact area of responsibility)

Opening and distributing mail, date stamping and scanning the correspondence onto the computer and forwarding to the appropriate person or administrative section or directly into the patients clinical record

Signposting patients to correct services

Booking appointments on cross-organisational slots

Accurately recording telephone conversations and patient data

POST/EMAIL/PHOTOCOPYING

Ensuring that any urgent results received, either via e-mail or telephone are given to the appropriate doctor

Photocopying when required

Action and logging of e-mails incoming and outgoing, urgent and non urgent

Preparing post to other agencies and hospitals ready for collection

OTHER DUTIES

Liaise with members of the Primary Health Care Team

Liaise with other agencies Social Services etc

Liaise with Chemists

Dealing with laboratory specimens

Sorting out hospital appointments

The above list is not all inclusive and we would expect that appointed personnel would offer their services and train to acquire the appropriate knowledge to cover in time of sickness / holidays etc. and would work at all times using their initiative.
