Job summary

We have an exciting opportunity for a Medical receptionist / administrator to join our friendly well-established team. The hours will 34 per week working Monday 8am-4pm, Tues 9am-4pm, Wed 1pm-6.30pm, Thur 1pm-6.30pm Fri 9.30am-6.30pm.

The successful candidate will need to provide a high level of Reception/Customer Service to our patients as well as supporting the secretarial team. We will expect them to enjoy working in a general practice environment and be prepared to go the extra mile.

The role of medical receptionist is very demanding, so we are looking for someone who is confident, has excellent communication skills, is highly organised and good at multi-tasking. It is not ideal for those seeking reduced responsibilities or a semi retirement role.

The successful Candidate must be computer literate and have a flexible approach to working.

Experience of working in a busy office environment would be an advantage

Main duties of the job

Offering support advice and guidance to patients booking appointment and dealing with a range of queries.

To be responsible for undertaking a wide range of secretarial and administrative duties and the provision of administrative support to the multidisciplinary team. This role offers great variety and duties can include, but are not limited to, working on reception, taking telephone calls, the processing of information (electronic and hard copy), liaising with multidisciplinary team members and external agencies such as secondary care and community service providers and in accordance with current policies, including the use of the electronic referral service (ERS).

We are a well established team of 7 GP's, offering services for over 8200+ patients in Longridge in the heart of the Ribble Valley.

We are a training practice supporting ST3/ST2 Doctors, FY2 and medical students. We have a multi skilled team of Anp's, Practice nurses, HCA, Physio and Clinical Pharmacist.We also have an excellent reception/admin team. Our core value is to support patients and offer good quality care.

Offer general assistance to the practice team and project a positive and friendly image to patients and other visitors, either in person or via the telephone

Receive, assist, and direct patients in accessing the appropriate service or healthcare professional in a courteous, efficient, and effective way

Undertake a variety of administrative duties to assist in the smooth running of the practice, including the provision of secretarial and clerical support to clinical staff and other members of the practice team

Facilitate effective communication between patients, members of the primary health care team, secondary care, and other associated healthcare agencies

Duties and responsibilities:

The duties and responsibilities to be undertaken by members of the practice administration team may include any or all the items in the following list. Duties may be varied from time to time under the direction of the practice manager, dependent on current and evolving practice workload and staffing levels:

Opening up/locking up of practice premises and maintaining security in accordance with practice protocols

Maintaining and monitoring the practice appointments system

Processing personal and telephone requests for appointments, visits, and telephone consultations, and ensuring callers are directed to the appropriate healthcare professional

Providing secretarial duties typing letters, referrals and reports using a dictation system.

Processing and distributing incoming (and outgoing) mail

Taking messages and passing on information

Filing and retrieving paperwork

Processing repeat prescriptions in accordance with practice guidelines

Computer data entry/data allocation and collation; processing and recording information in accordance with practice procedures

Initiating contact with and responding to requests from patients, other team member and associated healthcare agencies and providers

Clearing and re-stocking of consulting rooms as required

Providing clerical assistance to practice staff as required from time to time, including word/data processing, filing, photocopying, and scanning

Ordering, re-ordering and monitoring of stationery and other supplies

Dealing with clinical waste

Provision of refreshments for staff and visitors as required, loading and emptying the dishwasher and keeping the kitchen area clean and tidy
