Job summary

Medical secretary to handle referrals and general secretarial duties in a surgery with over 16,000 patients

To send off dictated letters and handle patients queries. and assist with general duties that are associated in a busy GP Surgery

Must be able to work within a team.

Main duties of the job

Work as part of a small team to offer excellent patient care and support the clinical staff and be part of the face off the practice

Job description

Job responsibilities

Key Responsibilities:

  • Administrative Support:

    • Prepare and type letters, reports, and other documents from dictation or typed notes.
    • Handle patient referrals using electronic systems such as e-Referral Service (ERS).
    • Manage incoming and outgoing correspondence, including emails, post and texts.
    • Maintain patient records, ensuring they are up-to-date and accurate, adhering to confidentiality policies.
  • Communication:

    • Act as the first point of contact for patients, GPs, and other healthcare professionals regarding administrative matters.
    • Handle telephone enquiries from patients and other healthcare providers professionally and efficiently.
    • Communicate patient results and messages from GPs when appropriate.
    • Liaise with hospitals, laboratories, and other healthcare organisations to coordinate patient care.
  • Referral and Reporting Management:

    • Process and track patient referrals to hospitals and specialist services, ensuring they are completed in a timely manner.
    • Ensure follow-up on referral appointments and results, maintaining communication with patients and external services.
  • Patient Record Management:

    • Accurately input and update patient information in the GP clinical system (e.g., EMIS Web)
    • Ensure patient files are kept in accordance with data protection laws (GDPR) and practice policies.
  • Meeting Support:

    • Attend and take minutes at practice meetings, when required.
  • Other Duties:

    • Participate in audits, quality improvement initiatives, and other administrative duties as needed.
    • Assist in maintaining a clean, safe, and organised working environment in the practice office.
Skills and Qualifications:
  • Proven experience as a Medical Secretary or similar administrative role, preferably in a healthcare setting.
  • Proficient in medical terminology, transcription, and the use of clinical software (e.g., EMIS).
  • Strong organisational and multitasking skills, with the ability to prioritise workload effectively.
  • Excellent verbal and written communication skills.
  • High level of accuracy and attention to detail.
  • Strong understanding of patient confidentiality and GDPR.
  • Ability to work independently and as part of a team.
  • Professional demeanor and empathetic approach when dealing with patients.
