Job summary

We are looking for a friendly and enthusiastic individual who cares about people and has excellent customer service skills to join our practice team.

Previous GP practice experience would be beneficial. The role of receptionist/administrator is challenging and demanding but also very rewarding.

Main duties of the job

The main duties of the role include answering the telephones, booking, cancelling and scheduling appointments, care navigation, registering patients, photocopying, filing, copy notes, notes summarising, prescription orders, welcoming patients at the front reception desk and dealing with queries.

It is very much working within the team to deal with all aspects of reception/admin workload.

Using systems such as EMIS, docman, accurex, GP connect and the NHS app.

About us

We are a friendly GP practice with 4 GP Partners, an Advanced Clinical Practitioner, Practice Nurses, Healthcare Support Worker, IT /medical admin lead, office manager, reception/admin team and practice manager.

We are a training practice with 3 GP trainees and medical students.

We work with our colleagues across Whitefield and Unsworth Primary Care Network such as physio, mental health colleagues, social prescribing, paramedics and pharmacists and are constantly striving to provide the best service with can to our patients and community.

Key responsibilities

Summary of reception / admin tasks:

To receive, assist and direct patients in accessing the appropriate service or healthcare professional in a courteous, efficient and effective way either in person (face to face) or via the telephone, maintaining confidentiality at all times.

Scheduling & cancelling appointments using the EMIS clinical system

Reception desk duties maintaining a friendly, professional and courteous manner

Answering the telephone in a professional and friendly manner. Ensuring a positive outcome.

Accurate message taking and conveying to appropriate person via tasks

Filing and accurate record keeping with attention to detail

Following practice policies and office procedures; copy notes, annual recalls/reviews, healthchecks, flu recalls, child immunisation appointments

Completing work as per start and end of day checklists

Prescription preparation in line with practice policy for both paper and electronic prescriptions

Referral management and liaising with providers

Liaising with other agencies where appropriate such as; local pharmacies, district nurses, midwives, health visitors, care homes, ambulance control, hospitals etc

Photocopying, scanning

Typing

Notes summarising & read coding

Computer entry as related to patient services and registrations

Use of docman and understanding of TQuest

Ensuring all clinical rooms are tidy and equipped on a daily basis

Making coffee/tea/refreshments when necessary

Dealing with cash transactions as part of the petty cash process

Maintain the waiting room as a clean and safe environment

Carrying out duties requested by the Office Manager, Practice Manager, GP partners and practice team as appropriate to the role.

Escalating problems to the Office Manager and Practice Manager where necessary

Any additional duties as required to ensure the smooth running of the practice

  • Educated to GCSE level standard minimum of 5 passes at Grade A-C (including English)

Desirable

  • ECDL
