Job summary

We are seeking a friendly, organised, and compassionate individual to join our team as a GP Receptionist. As the first point of contact for our patients, you will play a vital role in creating a welcoming and supportive environment while ensuring the smooth day-to-day running of the practice.

This is a rewarding role that requires excellent communication skills, empathy, and the ability to remain calm under pressure. You will be responsible for managing appointments, handling patient enquiries both face-to-face and over the telephone, and supporting the administrative functions of the practice.

The successful candidate will demonstrate professionalism, discretion, and a strong commitment to patient confidentiality, while working collaboratively with GPs, nurses, and the wider practice team to deliver high-quality patient care.

Main duties of the job

Offer general assistance to the practice team and project a positive and friendly image to patients and other visitors, either in person or via the telephone

Receive, assist and direct patients in accessing the appropriate service or healthcare professional in a courteous, efficient and effective way

Undertake a variety of administrative duties to assist in the smooth running of the practice, including the provision clerical support to clinical staff and other members of the practice team

Facilitate effective communication between patients, members of the primary health care team, secondary care and other associated healthcare agencies

About us

Summerhill Surgery is a happy surgery trying to provide the best possible service and have a patient focused ethos.

We currently have 7300 patients with approximately 15% living in Care Homes who are looked after by our specialist team.

We have 3 GP Partners and a non-clinical Managing Partner with 3 further salaried GP's. Other members of our Clinical team include ANPs, Nurse Practitioners, Practice Nurses, HCA's, a GP Assistant, a Paramedic and Pharmacist support. We also have a large hardworking admin team providing support to the clinicians and patients.

Job responsibilities

  • Opening up/locking up of practice premises and maintaining security in accordance with practice protocols
  • Maintaining and monitoring the practice appointments system
  • Processing personal and telephone requests for appointments, visits and telephone consultations, and ensuring callers are directed to the appropriate healthcare professional
  • Processing and distributing incoming (and outgoing) mail
  • Taking messages and passing on information
  • Filing and retrieving paperwork
  • Computer data entry/data allocation and collation; processing and recording information in accordance with practice procedures
  • Initiating contact with and responding to requests from patients, other team member and associated healthcare agencies and providers
  • Clearing and re-stocking of consulting rooms as required
  • Providing clerical assistance to practice staff as required from time to time, including word/data processing, filing and photocopying
  • Ordering, re-ordering and monitoring of stationery and other supplies
  • Keeping the reception area, notice-boards and leaflet dispensers tidy and free from obstructions and clutter

  • Excellent communication skills, both verbal and written, with the ability to communicate clearly and sensitively with patients and colleagues.
  • Ability to handle a high volume of telephone calls and face-to-face enquiries in a calm and professional manner.
  • Strong organisational skills with the ability to prioritise workload in a busy healthcare environment.
  • Good IT skills, including experience using email, Microsoft Office, and clinical or appointment booking systems.
  • Understanding of the importance of patient confidentiality and data protection (GDPR).
  • Ability to deal with sensitive situations with empathy, discretion, and professionalism.
  • Reliable, punctual, and able to work flexibly to meet the needs of the practice.
  • Ability to work effectively both independently and as part of a multidisciplinary team.
  • Good attention to detail and accuracy when recording patient information.
