Job summary

We are looking for a reliable, friendly person to join our team as a Medical Receptionist. The role will be for 19 hours a week and there will be an oppourtunity to work more hours on an overtime basis to provide holiday and sickness cover. An experienced Medical Receptionist with experience of using EMIS web is desirable, but not essential as full training will be given.

Recruitment will be through application form and interview. Employment will be dependent on pre-employment checks including at least two references, completion of right to work checks and completion of a medical questionnaire prior to start date.

Main duties of the job

Your main duties will be to greet patients as they arrive for appointments, book appointments and answer telephone queries along with other administrative duties.

Job description

Job responsibilities

The following are the core responsibilities of the receptionist. There may be on occasion, a requirement to carry out other tasks; this will be dependent upon factors such as workload and staffing levels:

a. Receive, assist and direct patients in accessing the appropriate service or healthcare professional in a courteous, efficient and effective way.

b. Project a positive and friendly image to patients and other visitors, either in person or via the telephone

c. Maintaining and monitoring the practice appointment system

d. Process personal, telephone and e-requests for appointments or home visits using judgment and communication skills to ensure that patients who need urgent consultation are seen in a logical and non-disruptive manner.

e. Answer incoming phone calls, transferring calls or dealing with the callers request appropriately

f. Explain Practice arrangements and formal requirements to new patients and those seeking temporary cover and ensure procedures are completed.

g. Signpost patients to the correct service

h. Action repeat prescription requests and ensure that they are ready for collection by the patient within 48 hours, either on the computer or manually.

i. Initiating contact with and responding to, requests from patients, team members and external agencies

j. Read code data on EMIS

k. Photocopy documentation as required

l. Data entry of new and temporary registrations patient information

m. Input data into the patients healthcare records as necessary

n. Ensure correspondence, reports, results etc are scanned and filed promptly and in the correct records, ensuring that all recent correspondence is available when patients are seen.

o. Direct requests for information i.e. SAR, insurance / solicitors letters and DVLA forms to the administrative team

p. Advise patients of relevant charges for private (non General Medical Services) services, accept payment and issue receipts for same.

q. Manage all queries as necessary in an efficient manner

r. Carry out system searches as requested

s. Maintain a clean, tidy, effective working area at all times

t. Monitor and maintain the reception area and notice boards

u. Support all clinical staff and the wider practice team with general tasks as requested

v. Open up premises at the start of the day when first to arrive, de-activate alarm and make all necessary preparations to receive patients.

w. When last to leave at the end of the day, ensure that the building is secured, internal lights are off and the alarm activated.

x. Support the team by providing cover during staff absences

Partake in audit as directed by the audit lead
