Job summary

  • Excellent IT skills essential as main role will be monitoring and running telephone and computer systems daily in relation to patients access.

Main duties of the job

  • Receive, assist, and direct patients in accessing the appropriate service or healthcare professional in a courteous, efficient, and effective way.
  • Provide general assistance to the Practice team and project a positive and friendly image to patients and other visitors, either in person or via the telephone.

About us

We are a friendly urban practice with over 12,000 patients and use SystmOne clinical system. We are a forward thinking practice with medical students and GP trainees. We are a 7 partner practice, with 2 full-time Practice Nurses, 2 Healthcare Assistants and a large admin and reception team who work well together. Great working atmosphere.

We belong to the Medics PCN and as a practice are fortunate to have the skills of a physicians associate, physiotherapists, clinical pharmacists and care co-ordinators. All 5 practices within our PCN work very well together sharing knowledge and supporting each other.

Job description

Job responsibilities

Reception:

  • Ensure an effective and efficient reception service is provided to patients and any other visitors to the Practice
  • Deal with all general enquiries, explain procedures and make new and follow-up appointments.
  • Using your own judgment and communication skills ensure that patients with no prior appointment but who need urgent consultation are seen according to practice protocol.
  • Explain Practice arrangements and formal requirements to new patients and those seeking temporary cover and ensure procedures are completed.
  • Give out signed prescriptions ensuring that the name and address is checked.
  • Give to patient any form or letter that has been prepared for them ensuring that moneys owed is taken and passed to practice manager along with slip logging the details. Receipts should be given.
  • Ensure hospital samples are sent in appropriate colour coded bags ready for collection by courier.
  • Ensure reception is always clean and tidy.

  • Ensure that all phones are answered promptly and politely.
  • Ensure changes of addresses are made on computer.
  • Request patients mobile phone number routinely.
  • Identify unfamiliar patients using DOB and NHS number as well as name.
  • Answer and deal with tasks/notifications as requested.
  • Ensure any patient queries are dealt with or passed to another member of staff for action.
  • Cover holidays for absent staff when required
  • · Complete District Nurse referral, emails answered, eConsults are replied to promptly.

  • · Cover Prescriptions when prescription clerk is on annual leave.

    · Deal with completed surgery scanning.

    · Book home phlebotomy.

    · Check Woodland Website daily and process requests.
