Job summary

We are looking for an experienced Receptionist to work 20.5 hours per week.

Tuesday 08.00 - 14.00

Wednesday 08.00 - 18.30 (one hour lunch)

Friday 08.00 - 13.00

You will be working with the Reception team, providing excellent customer service to our patients.

Main duties of the job

The main duties of the role are to provide excellent service to our patients, both face to face and by telephone.

You will need to possess excellent communication skills, be professional, friendly and approachable.

About us

Gravel Hill Surgery is based in Wombourne, near Wolverhampton.

We have 8500 patients and are a friendly team comprising of 5 GPs, 3 ANPs, Nursing team, Reception and Admin teams.

Training will be given to the successful applicant.

Job description

Job responsibilities

Job title: Receptionist

Location: Gravel Hill Surgery

Responsible to: Lead Receptionist

Main purpose of the post:

To provide a point of contact for the patients (both face to face and over the telephone) and act as a focal point of communication between patients, doctors and other medical staff.

Specific tasks:

Enquiries from patients, doctors and other medical staff should be efficiently and courteously handled.

The filing, record keeping and distribution of documents should be undertaken efficiently and promptly.

Maintaining confidentiality at all times.

Opening and closing the premises if required. Ensure the fire door is opened at 8am.

Receiving and routing patients on arrival, keeping patients fully informed at all times of delays etc.

Answering general enquiries both face to face and over the telephone, explaining surgery procedures.

Making new and follow-up appointments for Doctors, Nurses and other clinical staff.

Receiving and forwarding requests for repeat prescriptions.

Receiving requests for home visits, printing off relevant paperwork.

Receiving and forwarding messages for Nurses and Doctors.

Sending Accurx text messages to patients as appropriate.

Ensuring that adequate supply of stationery is available in the consulting rooms.

Complete e-referral paperwork/referrals.

Complete telephone and email referrals to the community team.

Complete Workflow and Docman tasks.

Liaise fully with other Receptionists, handing over tasks as appropriate.

Ensure visitors are greeted, the visitors book is completed and visitor badges issued.

To chaperone patients (if trained) if required by the Doctor in surgery and during clinical procedures.

Ensure waiting rooms, Reception area and foyer area are kept tidy at all times.

Provide support to the Secretary by copying medical notes.

Prepare blood forms for phlebotomist / Nurses / HCA.

Update the paper Lloyd George envelopes with changes of address.

To perform any other task as required, appropriate to the role of a medical receptionist.

To be flexible with working hours to cover sickness and holidays of other Receptionists.

To attend staff meetings and complete any training (courses or online training) appropriate to the role.
