Reception
o To support the reception team by providing sickness and holiday cover for colleagues as required.
Admin all staff
o Maintaining a courteous, efficient, and confidential service to all patients and visitors both over the telephone and in person. Dealing with all enquiries and requests, acting as appropriate
o Ensuring appropriate handover to incoming colleagues, including any urgent or unresolved matters
o Provision of refreshments for staff and visitors, as required. Keeping the kitchen area clean and tidy.
o Computer data entry - processing and recording information in accordance with Practice guidelines
o Filing and retrieving paperwork, as required.
o Complete Reception tasks
o Contribute towards the Daily Huddle
o Complete a Handover to AM when Leaving the business each day
o Identify and train admin cover for lead area where needed
Admin individual staff
In addition to the above individual members of the Practice administration team will take responsibility for a Lead. These may vary under the direction of the AM dependent on current and evolving Practice requirements, workload and staffing availability.
Prescriptions
o Processing repeats prescriptions in accordance with Practice guidelines.
o Be first point of contact for prescription queries from reception or admin team
o Processing Practices monthly return to Prescription Pricing Department.
o Champion the use of digital channels and promote the NHS app
o Communicate and work closely with the PCN Pharmacy team
o First point of contact for all Prescription queries from Patients and Reception team
o Synchronise, start and stop medication as per practice protocols
o Link Medications to QOF and LTC reviews
o Provide ongoing training and support to the reception team via the daily huddle and practice meetings
o Update team on meds out of stock/ common troubleshooting and pitfalls
o Attend the Monthly Practice pharmacy meeting
o Meet with the PCN pharmacy team weekly
o Good knowledge of medications
o Source of support for all staff at the practice
o Aim to reduce prescription queries from patients and streamline systems to support this

Information relating to patients, carers, colleagues, other healthcare workers, or the business of the Practice may only be divulged to authorised persons in accordance with the Practice policies and procedures relating to confidentiality and the protection of personal and sensitive data.

The post-holder will assist in promoting and maintaining their own and others health, safety and security as defined in the Practice Health & Safety Policy, to include:
Using personal security systems within the workplace according to Practice guidelines.
Identifying the risks involved in work activities and undertaking such activities in a way that manages those risks.
Making effective use of training to update knowledge and skills.
Using appropriate infection control procedures, maintaining work areas in a tidy and safe way and free from hazards.
Reporting potential risks, when identified.
Safeguarding
Recognise the signs, symptoms and categories of child and vulnerable adult abuse. Be aware of local policies, procedures and points of referral. Understand other practitioners and agencies roles and legal issues
