Job summary

A new exciting opportunity has arisen at Fitzrovia Medical Centre for the position of Practice Manager. The surgery is seeking a highly motivated individual who ideally has previous experience in senior management positions.The successful post holder will proactively lead the practice, ensuring that we continue to deliver high standards of care and team working in a changing time within the NHS and primary care. Candidates must be experienced, versatile, conscientious, and able to provide a hands-on approach to management and leadership.

Main duties of the job

Keep abreast of current affairs and identify potential threats and ensure all income-generating opportunities are explored and maximised

Contribute to practice strategy; formulate objectives and research and develop ideas for future practice development

Monitor and evaluate the performance of the practice team against objectives; identify and manage change

To manage and lead the practice both operationally and strategically, ensuring achievement of targets, delivery within budget, and the development of the service. This includes line management of the administrative staffand is responsible for the day-to-day smooth running of the practice.

We are a GMS practice of around 7,500 patients committed to the well-being of our patients and staff.We always welcome new ideas to improve patient care and employee development.

You will be joining our multi-skilled team consisting of two supportive GP partners and a salaried GP partner, three other salaried GPs (one retainer), other health professionals includinganHCA, including a physiotherapist, a pharmacist, care navigator, a paramedic, a Bengali link worker, andasocial prescriber,alongside an enthusiastic and experiencedadmin and reception team.

We are also in the process of welcoming GP trainees.

RESPONSIBILITIES

Leadership

Leadership and strategic business development of the practice in line with the Practice Business Plan and objectives

Support the value statements of the practice

Long term organisational planning including managing organisational risk and upkeep of organisational risk register

Ownership of all practice policies including Business Continuity Plan

Leadership and management of the managers and staff

Lead regular business meetings with the Partners

Specific project management as agreed with the Partners

Work collaboratively with colleagues to the benefit of the organisations

Innovative planning to ensure new business opportunities and funding streams are utilised

Treat colleagues, patients and visitors with dignity and respect at all times

External networking

Manage relationship with local CCG, PCN, other commissioning groups, NHS England and other bodies

Engage with Practice Manager groups

Ensure appropriate experts (both internal and external) are in place to support the practice as required

Maximise benefit from collaborative working with other practices/organisations

Manage relationship of practice with existing federation and ensure value being added

Relationship with patients

Ensure patients are at the centre of everything we do

Responsible for web presence, social media presence and managing practices online profile to best effect may be delegated to IT Manager

Manage relationship with patient participation group

Manage complaints

Maintain confidentiality at all times ensuring adherence to all Information Governance and Data Protection standards

Staff management and development

Performance management of all employees

Staff training Schedule learning days, monitor online training, manage training records

Ensure professional development, qualifications and training are kept current

Manage training requests from staff and clinicians

Line management of operational managers and Nursing Team including (non-clinical) appraisals

Ensure regular meetings are scheduled, attended, effective, minuted and actions completed. Includes business meeting, clinical meeting, partnership meeting, away days, staff meetings, staff training days

Corporate induction of new staff

Practice Organisation

Contract Management Responsibility for GMS/PMS/APMS Contract and any changes to contract

Strategic view of, and ownership of QOF and Enhanced Services

Review existing process to ensure they are lean and efficient, including engagement with internal practice improvement programme (PIP)

CQC compliance and management of inspections

Contribute to a no-blame culture where excellence is sought

Manage significant events and report any incidents, complaints or near-misses to ensure learning is shared across the practice

Work with Practice Nurse to ensure Infection Control is managed

Maintain systems and processes to ensure health, wellbeing and safety of patients, staff and visitors to the practice

Ensure building is fit for purpose may be delegated to Operations Manager

Manage relationship with local IT provider may be delegated to IT Manager

Information Governance systems, processes and compliance

Finance

Work strategically and effectively with Partners

Ensure all appropriate funding schemes are accessed fully

Monthly account overview

Audit claims for Enhanced Services and QOF payments

Support relationship with accountants on behalf of Practice

Sign-off all locum cover and overtime spend

Practice Development

Deliver the business and financial plan, including workforce development

Review and continually improve internal process and practices

Develop and implement strategies that build the Practice into a Centre of Excellence

Imbed a culture of active learning within the Practice

Comply with the provisions of the practice handbook and related Code of Conduct.

Represent the practice in a professional manner at all times, promoting the surgery as a centre of excellence

Encourage equality, diversity and inclusion and that the practice is a place where everyone feels welcomed and empowered

General

Attendance at meetings as required

Abide by all organisation policies
