Job summary
St Andrews Medical Practice is looking to recruit a highly motivated and experienced Operational Manager to join our supportive and forward-thinking team. This is a full-time role (37.5 hours per week) offering an exciting opportunity to contribute to the efficient and effective running of a busy GP surgery. We are seeking a confident, proactive individual with 3-5 years of proven experience in a similar management or senior administrative role within primary care or the wider NHS. The successful candidate will demonstrate excellent leadership, organisational and communication skills, and a strong commitment to delivering high standards of patient care.
Key Responsibilities:
Oversee the daily operations of the practice, ensuring smooth and efficient service delivery. Lead and support the reception and administrative teams. Monitor workflow, manage rotas, and ensure appropriate staff cover. Support implementation of policies, procedures, and NHS contractual requirements. Act as a key liaison between clinical and non-clinical staff.
Essential Criteria:
3-5 years experience in a healthcare operational or practice management role. Strong working knowledge of EMIS or similar clinical systems. Excellent organisational and problem-solving abilities. Outstanding interpersonal and team leadership skills. Ability to manage competing priorities and perform well under pressure.
Main duties of the job
Main Duties of the Job Operational Supervisor
As the Operational Supervisor, you will play a vital role in ensuring the smooth and effective running of front-of-house operations within the Practice. Working closely with the management team, you will provide day-to-day support and supervision to the reception and administrative staff.
Key Responsibilities:

Provide oversight of daily reception operations, ensuring a high standard of service is delivered to patients.

Supervise and support reception staff in handling telephone enquiries, appointment bookings, patient registrations, and general administrative tasks.

Oversee the processing of repeat prescriptions and monitor associated workflows for accuracy and efficiency.

Manage and monitor staff rotas, ensuring adequate cover is in place to meet operational demands.

Oversee key workstreams within the reception team, identifying areas for improvement and supporting continuous development.

Act as the first point of contact for patient complaints, ensuring they are handled professionally, promptly, and in line with practice policies.

Support the onboarding and ongoing training of reception staff, including facilitating online training modules.

Demonstrate a flexible and proactive approach to cover and shift changes when required.

Foster a positive and collaborative working environment, maintaining a professional and supportive attitude at all times.
