We are seeking candidates who can demonstrate
experience working effectively under pressure while maintaining a high standard
of patient service. The successful candidate will be proficient in Microsoft
Office applications (including Outlook), experienced in general administrative
duties, and confident in handling challenging situations.
Strong communication skills and the ability to work
with a variety of stakeholdersfrom GPs and senior staff to patientsare
essential. Flexibility is required to accommodate both early and late shifts.
Main duties of the job
This role comprises a blend of administrative and reception tasks including:
Preparing the premises for daily operations including opening the practice and preparing the rooms for the day ahead
Handling enquiries and booking appointments for patients
Manage daily practice tasks such as processing the post, allocating lab reports, processing insurance forms and accurate filing
Assisting the clinical team where necessary with any supporting administration
Follow protocols and keep up to date with the relevant training
Undertake any additional duties required and provide cover for colleagues during holidays and sickness

North Cumbria. NCPCs vision is to bring practices together to develop a
sustainable, fully integrated primary care- built locally and delivered

The Copeland NCPC area consists of 3 major practices,
Fellview Health Care, Lowther Medical Centre and Seascale Health Centre as well

Key Responsibilities
Clinical Administration Duties
- Distribute internal and external post (paper and electronic)
- Allocate lab reports and electronic documents to clinical staff daily
- Process insurance forms, medical records, and iGPR requests in line with practice protocols
- Manage and process income from insurance reports and medical requests, including chasing outstanding payments
- Provide general administrative support (filing, photocopying, etc.)
- Assist the clinical team with patient management as required
- Support new patient registration processes
- Maintain accurate and up-to-date records on the clinical computer system
- Monitor and manage stationery stock, including ordering and checking deliveries
Reception Duties
- Open and close the premises, including setting and deactivating alarms
- Prepare practice rooms and waiting areas for daily operations
- Handle general enquiries, explain surgery procedures, and assist patients with the total triage system
- Book new and follow-up appointments
- Manage daily practice tasks, ensuring completion or appropriate escalation
- Provide front-of-house services, greeting and directing patients in a courteous and efficient manner
- Ensure patients are accurately logged into the clinical system
- Respond promptly to patient queries
- Answer emergency calls immediately, recording key patient details and nature of the emergency
- Receive and process home visit requests
- Maintain adequate stationery supplies in consulting rooms and reception areas
- Handover urgent information, unresolved tasks, and key updates to incoming colleagues
- Ensure all daily work activities are completed
- Follow all practice protocols and stay up to date with training and system changes
- Remain on duty if required when surgeries run late, unless advised otherwise by the GP
