Job summary

We have an exciting opportunity for a receptionist to join our practice team. We are looking for the candidate to work 32.5 hours per week. Shifts will be either 8am to 3pm and 11.30am to 6.30pm. We have two practice sites and the post holder will be expected to work at both sites as and when required.

You will be able to cope well under pressure and have a good understanding of dealing with patients over the phone and in person. The job role will also include some administrative tasks which go hand in hand with the reception role. You should enjoy working as part of a multidisciplinary team and be confident liaising with patients, medical staff, general practitioners and hospitals.

The post holder will be expected to organise their workload and duties accordingly, in such a way to make a direct and positive contribution to the Practice, exercising initiative and maintaining patient confidentiality at all times.

Main duties of the job

To be responsible for undertaking a wide range of reception duties and the provision of general support to the multidisciplinary team. Duties can include but are not limited to, greeting and directing patients, effective use of the appointment system, booking appointments, processing of information and assisting patients as required. To act as a central point of contact for patients, the distribution of information, messages and enquires for the clinical tea, liaising with multidisciplinary team members and external agencies such as secondary car and community service providers.

About us

Dr G Singh and Partners are a large 3 Partner Practice based over two sites in Southall and Hayes. We have a mixed clinical and non-clinical workforce, including Receptionists, Administrators, Secretaries and our clinical team are made up of GP's, Nurses, Nurse Practitioners, Pharmacist and Healthcare Assistants. We work closely with our PCN team who also deliver care to our patients this team consists of Clinical Pharmacists, Social Prescribers, Physiotherapists and Paramedics.

The duties and responsibilities to be undertaken by members of the reception team may include any or all of the items in the following list. Duties may be varied from time to time under the direction of the practice manager, dependent on current and evolving practice workload and staffing levels:

Ensure an effective and efficient reception service is provided to patients and any other visitors to the practice.

Deal with all general enquiries, explain procedures and make new and follow-up appointments, either over the telephone or face to face.

Add all visit requests onto the duty doctors telephone triage list with a contact number and brief reason for visit.

Processing and distributing incoming mail

Filing and retrieving paperwork

Processing repeat prescriptions in accordance with practice guidelines

Computer data entry/data allocation and collation; processing and recording information in accordance with practice procedures

Initiating contact with and responding to requests from patients, other team member and associated healthcare agencies and providers

Providing administration assistance as required from time to time, including filing, photocopying and scanning

Using your own judgment and communication skills when dealing with patients

Explain practice arrangements and formal requirements to new patients and those seeking temporary cover, and ensure procedures are completed.

Ensure that all new patients are registered onto the computer system promptly and accurately

Receive and make telephone calls as required. Divert calls and take messages, ensuring you remain professional at all times.

Ensure the kitchen is kept clean and tidy in turn with other staff.

Keeping the reception area and notice-boards tidy and free from obstructions and clutter

Undertake any other additional duties appropriate to the post as requested by the partners or the practice manager.
