Job summary
To provide high-quality, professional and
responsive reception and administrative services to doctors, staff, patients and
visitors. As the first point of contact for
patients and visitors, you will be
responsible for providing a warm welcome whilst anticipating any
patient/visitor needs. Able to
multi-task and work under pressure to contribute to the efficient running of
the day-to-day activities within both the Reception and wider practice teams. Responsible to the
Reception Manager.
Main duties of the job
You will be responsible for managing the administrative and reception duties of the Practice, adhering to policies and procedures to ensure the highest standards of customer care and efficient working practices.
Main duties will include dealing with patient queries (face to face or by telephone), booking appointments, liaising with external service providers, undertaking administrative functions (such as patient registration, referrals and insurances), ensuring safe working practices at all times.
The hours of work are 26 hours per week; 12.30pm - 6.30pm (Mon/Wed) and 11.30am - 6.30pm (Thurs/Fri); there may be some flexibility to this pattern
There is also the opportunity to support the enhanced clinics on a Wednesday evening (6.30pm - 8.30pm) or Saturday (09.30 - 4.30pm)

Practice is a small but busy GP Surgery based in South Manchester, opposite Wythenshawe Park. Located in a residential setting, we have a patient population
close to 5,600 patients, with an annual steady growth of around 10%.
The Practice is staffed by 2 GP Partners, 3
salaried GPs, registrars/medical students, practice nurses, HCA and a variety of ARRS roles,
alongside a Reception/Administration and Management team of 10 people.We are a
hard-working but sociable group, and appreciate the importance of a good work-life
balance for our staff.

Duties
include:
Checking
patients in / greeting patients at the reception desk
Monitoring
the flow of patients into consulting and treatment rooms
Answering
the telephone
Arranging
patient appointments in line with Practice protocol
Assisting
with any patient queries
Keeping
EMIS updated (confirming patients details are correct)
Printing
off blood forms / issuing of forms
Dealing
with samples (collection/storage etc)
Liaison
between patient and clinician, where appropriate
Taking
messages for other medical staff
Receipt
of any post/deliveries, ensuring items for cold storage are dealt with
appropriately
Attend
team meetings where required
Help
to cover any sickness/annual leave and work reasonable overtime, if required
Undertake
any training necessary to the tasks and responsibilities relevant to the role;
keeping up to date with all mandatory training (to include but not limited to: GDPR,
Safeguarding (Adult & Child), BLS, Fire, Equality & Diversity, Information
Governance, Manual Handling, Infection Control)
Take
responsibility for own learning, development and performance in line with
others undertaking the same role
Act
as a chaperone (if applicable, and only then after training completed and DBS
in place)
Ensuring
the reception office is kept clean and tidy at all times
Carrying
out opening up/closing duties in line with Practice procedures (to include preparing
the Practice areas for staff and patients, securing the premises, turning off
lights/appliances, activating alarm)
Adhere
to all policies and procedures and to ensure safe working practices at all
times
