Job summary

Pinfold Medical is a 2 Partner Teaching Practice based in the Pinfold Health Centre, Bloxwich, Walsall WS3 3JP.

We are looking for 2 enthusiastic, motivated, flexible individuals to join our Reception/Administration team.

The candidates will be capable of providing a professional, courteous and efficient service to our patients. The post entails frequent contact with both patients and clinicians and requires excellent written, communication and organisation skills. Experience of working in a GP surgery is desirable, however full training will be given.

Main duties of the job

Your will responsible for carrying out reception and administrative tasks ensuring that services are delivered in a professional and efficient manner.

Responding to queries and requests for assistance from patients and visitors at reception, ensuring at all times patients are efficiently and courteously handled.

Booking appointments onto the appointment system and booking in patients when they arrive at the surgery.

Signposting patients to appropriate services

Document handing, filing, prescription management

About us

Pinfold Medical was established in April 2018 as an umbrella organisation to facilitate the closer integration of local practices.

All Saints Surgery (AS) and Field Road Surgery (FRS) combined to streamline their back office functions. This has provided us with the benefit of reducing unnecessary duplication of administration whilst expanding shared services and offering best practice.

We are proud to have a multi-disciplinary team comprising of GP's, ANP's, Pharmacists, GPA's, Nurses and HCA's all supported by our dedicated reception/admin team. We work together as a team to promote a supportive work environment and provide high quality care to all of our patients.

Job responsibilities

  • Handling queries and requests for assistance from patients and visitors at reception, ensuring at all times that this is done in an efficient and courteous manner.
  • To handle telephone and face to face requests for appointments. Book appointments onto appointment system and check in patients when they arrive at the surgery.
  • Receiving and checking repeat prescription requests. Printing repeat prescriptions and passing to patients and local pharmacies.
  • To take messages accurately and ensure they are forwarded to the appropriate person in a timely fashion.
  • To assist with new patient registrations together with inputting their necessary data onto the system.
  • To advise patients of relevant charges for private services, accepting payment and issuing receipts if necessary.
  • To ensure that scanning, filing, faxing referrals, record keeping and distribution of documents are undertaken efficiently and promptly.
  • To document patient referrals into the Secretarial book on a day to day basis.
  • Summarising patient records and copying medical records as and when required.
  • Telephone patients to advise results of routine tests.
  • Telephone patients to arrange for routine appointments such as Health Checks, Diabetes Reviews etc.
  • To open Consulting rooms every day turning on computers, inserting prescriptions into printers and checking couch roll etc and closing and checking rooms at the end of Surgery.
  • Extraction of necessary data from clinical correspondence and input into electronic Patient Record using preferred read codes.
  • Dealing with incoming post, date stamping and distributing on a daily basis.
  • To attend Practice meetings and any other staff meetings.
  • To undertake mandatory and on-line training as requested to update knowledge and skills.
  • To be flexible in the workplace in terms of hours worked as and when the need arises.
  • To have thorough knowledge of all Practice procedures and to work in accordance of the written protocols.
