Job summary

Undercliffe Surgery are looking for a motivated and enthusiastic administrator to join our friendly dynamic team.

The position is a 12 month fixed term contract and are happy to consider applicants for both part time and full time hours.

Main duties of the job

To co-ordinate the electronic filing and flow of information received by the practice, ensuring that the appropriate person sees that information.

Supporting clinical staff in data entry requirements and coding and providing support to the secretarial team where necessary.

Undercliffe Surgery is a busy, forward thinking practice in the heart of Heckmondwike with a list size of 10,700 patients.

We are a friendly dynamic team led by our two GP Partners. Our clinical team consists of GP's, Advanced Practitioners, Nurses and Healthcare Assistants, supported by our secretarial and admin teams. We also work alongside physiotherapists, social prescribers, pharmacists and mental health support workers who are aligned with us from Spen Primary Care Network.

Following the practices written protocols:-

  • Filtering and processing incoming and outgoing mail, electronic clinic letters and email correspondences
  • Processing out of hours and NHS 111 reports
  • Processing incoming and outgoing medical records
  • Filing and storing of paper medical records
  • Registration of new and temporary patients
  • Processing the deduction of patients
  • Actioning of GP links
  • Actioning and filtering of patients online appointment requests and queries via Patches
  • Entering codes from hospital letters onto the clinical system
  • Processing outgoing post
  • Providing admin support to the secretarial and clinical teams where necessary
