Job summary

We are a busy forward thinking training practice, we are looking to recruit an enthusiastic and motivated person to join our reception team.

Main duties of the job

The job will be 16 hours per week Monday, Wednesday, Thursday and Friday 2.30 - 6.30. You will be asked to work occasional, weekend, bank holidays/ evenings.

About us

We are a 4 partner, friendly training practice, serving a practice population of approximately 9800. We have a team of nursing staff, reception team, administration team, practice pharmacist, pharmacy technician, mental health worker, physio therapists and a paramedic.

Job description

Job responsibilities

Primary key responsibilities

The following are the core responsibilities of the Receptionist. There may be, on occasion, a requirement to carry out other tasks. This will be dependent upon factors such as workload and staffing levels:

a. Maintain and monitor the practice appointment system

b. Process personal, telephone and e-requests for appointments

c. Answer incoming phone calls, transferring calls or dealing with the callers request appropriately

d. Signpost patients to the correct service

e. Initiating contact with and responding to, requests from patients, team members and external agencies

f. Clinically code data on EMIS Web

g. Photocopy documentation as required

h. Data entry of new and temporary registrations and relevant patient information as required

i. Input data into patients healthcare records as necessary

j. Direct requests for information, i.e., SAR, insurance/solicitors letters and DVLA forms to the administrative team

k. Manage all queries as necessary in an efficient manner

l. Carry out system searches as requested

m. Maintain a clean, tidy, effective working area at all times

n. Monitor and maintain the reception area and notice boards

o. Support all clinical staff with general tasks as requested

Qualifications

Essential

  • Educated to GCSE or equivalent, experience in working with the general public, excellent communication skills (written and oral). Strong IT Skills, clear and polite telephone manner. Ability to work as a team member, good interpersonal skills, problem solving, ability to follow policy and procedure, polite and confident, flexible and cooperative, motivated and a forward thinker.

Desirable

  • Experience in administration duties, experience in working in a Health Care setting. Knowledge of Emis computer.
