Working within the reception team. Responsible for the day-to-day supervision and management of all reception staff and associated duties, ensuring all functions are carried out in accordance with agreed protocols and timescales, and reporting to the Practice Manager as necessary
Main duties of the job
The following are the core responsibilities of the Reception Team Leader. There may be on occasion, a requirement to carry out other tasks; this will be dependent upon factors such as workload and staffing levels.
The Reception Team Leader is responsible for supervising and supporting the reception team, ensuring they achieve their primary responsibilities:
Induction and training of all new staff to agreed standards.
Ensure adequate staffing levels, approve annual leave and other leave as appropriate.
Ensure all staff have adequate time to carry out administrative duties.
Maintaining and monitoring the practice appointment system
Signpost patients to the correct serviceDeal with more complex enquiries from patients
Deal with general telephone enquiries from patients and the public.
Initiating contact with and responding to, requests from patients, team members and external agencies
Input data into the patients healthcare records as necessary.
Direct requests for information i.e., SAR, insurance / solicitors letters and DVLA forms to the administrative team
Manage all queries as necessary in an efficient manner
Carry out system searches as requested
Maintain a clean, tidy, effective working area always
Monitor and maintain the reception area and notice boards
Support all clinical staff with general tasks as requested
Ensure all reception duties are up to date (Prescriptions, tasks, emails etc.)
About us
We are a small family orientated practice working from our own building that we designed and built 25 years ago. Our staff have been with us many years and work closely together in a happy team. We like to be well organised and operated a calm and efficient surgery which is patient centred and has a high reputation locally and good feedback on the GP surgery national survey. Posts attract the nhs pension scheme, 4 weeks holiday and training and development. The practice is also involved in local community projects and Dr Tattersfield heads up the local Primary Care Network of GPs so we are at the centre of decision making in our patch
