Medical Reception Supervisor

Job summary

Are you someone who is self-motivated, enjoys working in a team and understands the importance of delivering quality healthcare ? We are looking for a Medical Reception Supervisor who can take responsibility for the day-to-day operational management of the reception and administrative team, ensuring the delivery of a safe, effective, and patient-focused front-of-house service. The post holder will support the Practice Manager with rota management, staff performance, audits and operational oversight, ensuring compliance with NHS, CQC and practice policies.

Main duties of the job

  • Provide day-to-day supervision of the reception and administrative team
  • Create, manage, and maintain reception rotas, ensuring appropriate staffing levels
  • Identify training needs and support staff development
  • Monitor compliance with practice SOPs, policies, and procedures
  • Ensure reception staff provide a courteous, confidential, and professional service

About us

Belgrave Medical Centre is a well-established NHS GP Practice which has operated on Pimlico Road for over 30 years. We believe that it is our responsibility to help maintain people in good health rather than simply to treat them when they are ill.

For these reasons we work as a team of doctors, nurses and health visitors. We link to the local community-based psychiatric and diabetes teams, drug dependency groups, alcohol support services, social services and other support teams.

Key Responsibilities

Operational Management

  • Ensure safe, efficient, and patient-centred reception services at all times
  • Act as the first point of escalation for reception staff queries and issues
  • Ensure adequate reception cover is maintained throughout the day
  • Support the smooth running of daily operations and workflows

Rota & Workforce Management

  • Manage annual leave, sickness absence, and ad-hoc cover in line with policy
  • Monitor attendance, timekeeping, and productivity
  • Support return-to-work processes following sickness absence
  • Escalate staffing risks or concerns to the Practice Manager in a timely manner

Staff Supervision & Appraisal

  • Conduct regular one-to-one meetings with reception staff
  • Support and contribute to staff appraisals and performance reviews
  • Address performance concerns early and professionally, following HR processes
  • Promote a positive, supportive, and accountable team culture

Audits, Quality & Compliance

  • Support and undertake operational audits relevant to reception and administration
  • Support CQC-related evidence gathering within the reception team
  • Ensure correct use of clinical systems (e.g. SystmOne) and data security
  • Monitor and support accurate processing of tasks, referrals, and patient requests

Patient Experience & Safety

  • Manage patient complaints and concerns at reception level, escalating where required
  • Promote confidentiality, safeguarding awareness, and information governance
  • Support safe navigation of patients to the appropriate service

Leadership & Communication

  • Act as a role model for professional behaviour and NHS values
  • Communicate clearly and effectively with clinical and non-clinical colleagues
  • Support the Practice Manager with service improvements and operational changes
  • Attend meetings as required and contribute to service development

  • Previous experience in GP reception or NHS administrative role
  • Experience supervising or leading staff
  • Strong organisational and rota management skills
