Elmwood Family Doctors is a large, modern General Practice located across two sites in Huddersfield (Holmfirth and Meltham) and we are looking to recruit an enthusiastic and motivated Medical Secretary to join our team.
Holmfirth and Meltham are great places to live and work, with good schools. There is plenty happening in Holmfirth and Meltham, with annual festivals for Jazz, Folk Music, Film, and the Arts. The villages sit amongst beautiful Pennine countryside but have good local amenities and are an easy drive to Leeds, Manchester & Sheffield.

Main duties of the job
Our Practices are open to patients from Monday to Friday, with our clinical and administrative staff working flexibly to provide services throughout our opening hours.

Job responsibilities
The following are the core responsibilities of the role. There may be, on occasion, a requirement to carry out other tasks; this will be dependent upon factors such as workload and staffing levels:
This will include (but is not limited to):
- Process patient referrals utilising local referral pathways i.e. electronic referral system (ERS), as appropriate
- Audio typing referrals and reports using the Crescendo digital dictation system software
- Provide an efficient word processing service for the GPs and wider Practice Team, as required. This includes typing of letters, reports and patients referrals in an accurate manner
- Deal with queries from the practice team, patients, hospital providers and outside agencies
- Utilise the medical record system (SystmOne) to process patient data
- Deal with tasks allocated to the secretarial team
- Monitor the generic email and deal with relevant queries efficiently
- Process and distribute incoming patient information as appropriate including patient online consultations (patchs)
- Assist with the booking and running of the vasectomy clinic
- Work to practice protocols
- Arranging transport for urgent admissions
- Maintaining a well-organised shared drive filing system
- Exercise discretion and initiative to ensure that contact with patients and clinical professionals is sensitive and effective. This can involve providing and receiving highly complex information
- Deal with enquiries from patients and patients relatives, in a calm and clear manner, being as informative, empathetic and reassuring as possible
- Manage workload by setting out own priorities without any direct supervision, whilst working under pressure and to strict deadlines
- Deal with situations which require a degree of negotiation/persuasion, e.g. request to expedite an urgent investigation or referral.
Hours and Location
We're looking for a part time individual, working 25.5 hours per week:
- Monday or Wednesday: 8 am - 5 pm
- Thursday: 8 am - 5 pm
- Friday: 8 pm - 5 pm
Our staff work across both of our sites, Holmfirth and Meltham. This flexibility means our staff can build successful working relationships with all of their colleagues, get to know our patients and enjoy a more varied role. The successful candidate will need to be able to travel to both locations. In order to ensure excellent patient service and team work, this is an on-site role and home-working will not be practical.
