Job summary

We are looking for a motivated Medical Secretary who is passionate about providing high quality healthcare and tackling the role in new and exciting ways. We want you to come and work alongside an already motivated and inspiring practice team of like-minded and varied professionals. The post holder will be expected to undertake all the normal duties and responsibilities associated with a Medical Secretary working within primary care.

Main duties of the job

- Typing letters, reports and associated documentation as required

- Liaising with external agencies such as hospitals and community services, ensuring referrals are processed efficiently

- Manage all enquires in an effective manner

- Maintain an accurate referrals database

- Action all incoming emails

- Process calling letters as requested

- Scanning of patient related documentation and attaching scanned documents to patients healthcare records

- Input data into the patients healthcare records as necessary

- Process referrals using the electronic referral system (ERS)

- Process requests for information i.e. SAR, insurance / solicitors letters and DVLA forms

- Minute taking and typing up minutes of various practice meetings

- Read code data on EMIS

- Answer incoming phone calls, transferring calls or dealing with the callers request appropriately

- Manage all administrative queries as necessary Carry out system searches as requested

- Support all clinical staff with general administrative tasks as requested

About us

The Carden Surgery is located on the outskirts of the city centre and is a dual site practice; our secondary site is in Coldean Village. We have approximately 8700 thousand patients and expect this to grow rapidly with new local housing developments nearing completion.

With a growing list size we are keen to ensure our our workforce grows to support our patients needs as patient care is our priority.

Duties can include but are not limited to, the processing of information (electronic and hard copy) in a timely manner, liaising with multidisciplinary team members and external agencies such as secondary care and community service providers in accordance with current policies, including the use of the electronic referral service (ERS).

Qualifications

Essential

  • GCSE grade A to C in English and Maths.
  • Experience using ERS and other referral tools.
  • Confident in the use and understanding of medical terminology.
  • Previous experience in read coding.
  • Previous experience using dictation programmes.

Desirable

  • Experienced in the use of EMIS
  • Experienced in the use of Docman
  • Experienced in the use of Lexacom
  • Experience in the use of AccuRx
