About The Role
We're looking for a confident, supportive and proactive Admin Team leader to guide and coordinate our admin team at The Leith Hill Practice.
This role is all about leadership, oversight and keeping our admin team running smoothly. You'll have a clear understanding of how the admin side of the practice works, providing direction, support and coaching to the team. You'll step in when needed to maintain service continuity and get hands-on when extra support is required.
As part of a senior admin team, you'll also share responsibilities such as courier cover and Thursday evening enhanced access clinics (on a rota basis)

As Admin Team Leader, you'll oversee and support the team ensuring, high-quality output, and compliance with practice standards. You'll guide and develop your colleagues through appraisals and training, while staying connected to the day to day work.

- Team Leadership & Management Lead, mentor and develop the admin team, conduct appraisals, monitor performance and coordinate workloads effectively. Help introduce new practice processes, make sure the team feels confident using them, and ensure everyone gets the training they need to work smoothly and consistently.
- Patient Records & Data Management - Manage medical records, SARs and sensitive patient information; ensure accurate coding, record summarising and secure data handling.
- Clinical Administration Prepare referrals, letters, reports and document; support audits, clinical reporting, and key requirements such as vaccinations, child immunisations, cancer care reviews and FP69s.
- Private & Third Party WorkOversee and manage all non GMS work completed by the practice, invoicing and credit control.
- Operational Oversight Monitor both clinical and non-clinical stock, organise team meetings and take minutes.
- Compliance & Risk Management Adhere to GDPR, NHS, CQC and practice policies including safeguarding.

- You have experience in GP practice administration and are ready to take ownership, support others and lead by example. You'll bring:
- Solid experience in GP practice or senior medical administration
- A clear understanding of how GP admin functions work together
- Confidence in using Systmone and medical terminology
- Strong IT skills
- A calm, professional approach, especially during busy periods
- Strong organisational skills and attention to detail
- Excellent knowledge of GDPR and patient confidentiality
- The ability to manage sensitive information and external communication.
Desirable
- Leadership experience is helpful, but equally important is the right mindset: practical, supportive, and confident in guiding and developing others.
