Job summary
St Andrew's surgery are looking to recruit a Medical Secretary to join our team. The role needs to be a minimum of 25 hours a week to start with, with the potential to grow to a full time position after 12 months. The role will include being responsible for undertaking a wide range of secretarial and administrative duties and the provision of administrative support to the multidisciplinary team. it is a busy and demanding position so applicants will need to be organised and able to manage their workload effectively. Touch typing/audio dictation is essential to the role and there will be a speed and accuracy test as part of the interview process.
Duties can include, but are not limited to, the processing of information (electronic and hard copy) in a timely manner, liaising with multidisciplinary team members and external agencies such as secondary care and community service providers in accordance with current policies, including the use of the electronic referral service (ERS).

Primary key responsibilities
The following are the core responsibilities of the Medical Secretary. There maybe, on occasion, a requirement to carry out other tasks; this will be dependent upon factors such as workload and staffing levels:
a. Typing letters, reports and associated documentation as required
b. Liaising with external agencies such as hospitals and community services, ensuring referrals are processed efficiently
c. Managing all enquiries in an effective manner
d. Maintaining an accurate referrals database
e. Processing calling letters as requested
f. Scanning of patient related documentation and attaching scanned documents to patients healthcare records
g. Inputting data into the patients healthcare records as necessary
h. Processing referrals using the electronic referral system (ERS)
i. Processing requests for information i.e., SAR, insurance/solicitors letters and DVLA forms
j. Clinically coding data on EMIS web
k. Building GP Rota templates and planning in appointment times and numbers, CPD, Annual Leave and supervisory time in accordance with practice protocol
l. Managing all administrative queries as necessary
m. Answering incoming phone calls, transferring calls or dealing with the callers request appropriately
n. Maintaining a clean, tidy, effective working area at all times
o. Supporting all clinical staff with general administrative tasks as requested
