Job summary

Halcyon Medical is situated in Birmingham City Centre. It provides NHS services to over 17,000 patients.

1 x Receptionist/Administrator vacancy is available. The position is part-time (27.5 hours per week). Working hours are 1pm - 6.30pm.

This is a fixed one year contract with a view to possible permanent contract thereafter.

Experience of working in a GP Surgery or Receptionist role is desirable. Full training will be provided. We are looking for staff with excellent customer service, are well organised and have strong IT Skills.

Main duties of the job

Maintaining and monitoring the Practice appointment system

Process personal, telephone and e-requests for appointments

Answer incoming phone calls, transferring calls and dealing with the callers request appropriately

Signposting patients to the correct service

Initiate contact with and respond to requests from patients, team members and external agencies

Data entry of patient registrations and relevant patient information as required

Input data and scan patient related documentation into the patients healthcare records as necessary

Manage repeat prescriptions ensuring that they are processed with accuracy and efficiency

Manage queries in an efficient manner

Maintain a clean, tidy and effective working area at all times

Complete opening and closing procedures in accordance with the duty rota

Support all clinical staff with support when required

Job Summary:

Receive, assist and direct patients in accessing the appropriate service or healthcare professional in a courteous, efficient and effective way.

Provide general assistance to the Practice Team to the practice team and project a positive and friendly image to patients and other visitors, either in person or via the telephone.

Job Responsibilities:

To have a thorough knowledge of all practice procedures

To work in accordance of written protocols

Pulling and filling notes

Scanning of hospital letters and results onto EMIS clinical system

Reception:

Receiving patients consulting with clinicians

Managing repeat prescriptions

Cover all reception duties as necessary

Appointments:

Process on the day appointment requests and future appointments from patients via telephone and in person

Deal with visit requests

Computer:

Registration of new patients

Process patients change of address (have knowledge of practice boundary)

Process repeat prescriptions in accordance with practice protocol
