Job summary

Burney Street Practice is an established GP Surgery with over 16,000 Patients working across two sites.

Burney Street Practice is located in the heart of Greenwich, with easy access to Historic Greenwich and Greenwich Park.

Our other surgery, Wallace Health Centre is a very short walk away over the Deptford Creek Lifting Bridge.

We have a strong Management & Administration Team and we are looking for the right candidates to fill positions being vacated by existing Receptionists who are retiring soon.

The role of Receptionist has expanded in recent years and the Practice is utilising new software to manage patient demands and expectations. We use the EMIS clinical system, as well as EConsult, Footfall & iPlato.

We are looking for individuals with customer service skills and the ability to adapt to change. We are a happy team and wish to build a great team of staff all working for each other and the patients.

Main duties of the job

Recent proven Reception experience, preferably in a GP/Healthcare setting.

Possess excellent people skills and understand the importance of good customer care.

Excellent telephone skills.

Good literacy and IT skills are essential as the majority of work will involve inputting data onto the computer. Knowledge of the EMIS medical software system would also be preferred but is not essential, as training will be given.

Ability to multi task and prioritise own work load.

Committed and positive individual with excellent communication skills.

Flexibility is essential as from time to time you may be required to cover holidays or other absence.

Convey a mature and empathetic nature, and have a friendly can do attitude.

About us

The Practice is comprised of General Practitioners (Partners and Salaried GPs), Physicians Associates and attached PCN Pharmacists. We have a number of Practice Nurses and Health Care Assistants.

We are currently expanding our Reception Team, due to the increase in our Practice list size and a number of staff retirements.

We are looking for Receptionists who can cover either site and are happy to work on their own initiative, as a member of a close team and 'go the extra mile', when needed.

You need to develop great relationships with the Patients and show empathy and have the ability to listen to their concerns.

This is the opportunity to join an established GP Practice with an enthusiastic Management Team, willing to listen to its staff and take up suggestions when it can.

Job Title: Receptionist

Main Purpose of Post: To provide a point of contact for Patients and act as a focal point of communication between Patients and the Practice Team along with administration duties as and when requested .

Reports To: Reception Lead / Operations Leads / Management.

Job Summary:

Receive, assist and direct patients in accessing the appropriate service or healthcare professional in a courteous, efficient and effective way.

Provide general assistance to the practice team and project a positive and friendly image to patients and other visitors, either in person or via the telephone.

Job Responsibilities:

Ensure an effective and efficient reception service is provided to patients and any other visitors to the practice.

Deal with all general enquiries, explain procedures and make new and follow-up appointments.

Using your own judgment and communication skills ensure that patients with no prior appointment but who need urgent consultation are seen in a logical and non-disruptive manner.

Explain practice arrangements and formal requirements to new patients and those seeking temporary cover and ensure procedures are completed.

Receive and make telephone calls as required. Divert calls and take messages, ensuring accuracy of detail and prompt appropriate delivery.

Enter requests, eConsult Lites, from Patients, for those who do not have access to the internet.

Action repeat prescription requests when required and ensure that they are ready for collection by the patient within 48 hours, either on the computer or manually.

Prepare lists and notes for all surgeries and clinics held, ensuring completion of all associated paperwork.

Advise patients of relevant charges for private (non-General Medical Services) services, accept payment and issue receipts for same.

Enter patient information on to the computer as required.

Patient notes and correspondence:

Retrieve and re-file records as required, ensuring strict alphabetical order is adhered to.

Ensure correspondence, reports, results etc. are filed promptly and in the correct records, ensuring that all recent correspondence is available when patients are seen.

Ensure records are filed correctly, kept in good repair with all necessary information on the outside cover clearly visible.

Make and serve refreshments, if required, ensure the kitchen is kept clean and tidy the waiting room in turn with other staff.

Premises:

Open up premises at the start of the day when first to arrive, de-activate alarm and make all necessary preparations to receive patients.

When last to leave at the end of the day, ensure that the building is totally secured, internal lights and air-con units are off and the alarm activated.

Undertake any other additional duties appropriate to the post as requested by the Doctors or the Practice Manager.

In the course of seeking treatment, patients entrust us with, or allow us to gather, sensitive information in relation to their health and other matters. They do so in confidence and have the right to expect that staff will respect their privacy and act appropriately.
