Job summary
As GPAs will come from
different backgrounds, different skill sets and their role as a GPA may differ
significantly from a GPA in another Clinical setting, there are many factors to
be considered by the Service
The GPA will support the Clinical
Teams smooth running of the service by performing the more routine
administration and clinical tasks on behalf of the clinicians freeing up
their time to focus on the patientAny remuneration or adaption of the job
description will be at the discretion of the Service Manager and in
agreement with the Human Resources and the GPA.
The Role in brief: The GPA will be part of
the SDS Care Home Service. The service covers 30 care homes, both residential
and nursing across all areas of Birmingham from Sutton Coldfield to Handsworth
to Sheldon and Longbridge. There are approximately 1000 care home residents,
each of whom are registered with West Heath surgery, who we work very closely
with.
The
team includes GPs, Nurse Practitioners and Admin.
The
GPA will be expected to work independently, travelling to care homes covered by
the service and carrying out their duties as listed, returning to West Heath
surgery, which is our base, as needed.
Although
part of a team, the majority of the role is working autonomously and managing a
daily case load
Main duties of the job
AdministrationArranging appointments, tests and follow up appointments of patients.Follow up on outstanding test results.Administrative workflow tasks on the clinical system inclusive of EMIS and DOCMAN.All forms of data entry and recording relating to patients, including scanning and summarising.Supporting with the administration of recalls inclusive of QOF, DOAC, High risk drugs and monthly recalls.Assisting clinicians as a chaperone where required.Providing administrative support to clinicians and managers within the organisation.Follow and adhere to Health and Safety procedures.Any other delegated duties considered appropriate for the post.Ensuring work areas are tidy including stock takes and Infection Control.
Clinical (subject to the completion of appropriate training)Check patient identification and confirm details with the patient and /or Care team.Phlebotomy, urine testing, swabs, physiological measurements including blood pressure, pulse rate and rhythm, temperature, pulse oximetry, height and weight (body mass index), visual acuity in accordance with training, Policies and Procedures.Support the Clinicians with Vaccines/wound care.Completing QOF, DOAC High risk drugs and monthly recalls.Prepare and maintain environments and equipment before, during and after patient interventions.

Administration:
- Receiving and directing patients
- Handling telephone and general enquiries
- Arranging appointments, referrals, tests and follow up appointments of patients
- Processing all forms of communication relating to patients
- Administrative workflow tasks on the clinical system inclusive of EMIS and DOCMAN
- Making appointments for medical representatives
- All forms of data entry and recording relating to patients, including scanning and summarising in line with the practice processes.
- Assisting with the onward management of patients as required, e.g. booking further appointments, referrals
- Supporting the practice management team with the administration of any additional services operated within the practice opening hours
- Take responsibility (as requested by the practice management) for the completion of data relating to any additional services in a timely manner
- Supporting with the administration of recalls inclusive of QOF, DOAC, High risk drugs and monthly recalls
- Support the secretarial team with the administration of basic (non-opinion) forms and core elements of some forms for the GP to approve and sign, such as insurance forms, mortgage, benefits agency forms etc
- Provide support to the practice secretarial team, care coordinators and medical assistants during periods of absence or annual leave
- Provide reception cover (where applicable) in periods of high business demand, staff absences or annual leave
- Assisting clinicians as a chaperone where required
- Providing administrative support to clinicians and managers within the organisation
- Follow and adhere to Health and Safety procedures
- Any other delegated duties considered appropriate for the post
- Ensuring work areas are tidy

- Where required (and clinically appropriate) provide support with phlebotomy, ECGs, dipping urine and taking blood pressures
- Preparing patients prior to seeing the GP, taking a brief history and basic readiness for the GP appointment
- Helping the GP liaise with outside agencies e.g. getting an on call doctor on the phone to ask advice or arrange admission while the GP can continue with their consultation(s)
- Support the GP with immunisations/wound care
Communication
- Communicate effectively to deliver excellent customer service to patients
- Promote effective teamwork with all staff
- Provide appropriate communication to identify problems and solutions promptly
