Job summary

This is a part time position for 15hours per week, flexibility and overtime will be required during periods of annual leave.

We are seeking a highly motivated and experienced clinical administrator to join our team. The role primarily focuses on handling clinical correspondence and patient records.

Main duties of the job

  1. Managing Incoming and Outgoing Clinical Letters: You will be responsible for organising and overseeing the flow of clinical letters, ensuring that they are received, processed, and directed efficiently. This involves coordinating with various healthcare professionals, departments, or external sources.

  2. Adding Clinical Diagnosis to Patient Records: As part of maintaining accurate and up-to-date patient information, you will add relevant clinical diagnoses to patient records based on incoming letters and other documentation. This requires attention to detail and knowledge of medical terminology.

  3. Reading and Directing Required Actions on Incoming Clinical Letters: You will review clinical letters to identify any necessary actions, such as follow-ups, referrals, medication changes or updates to patient care plans. You will direct these actions to the appropriate medical staff or departments.

  4. Managing Patient Record Transfers: This includes coordinating the transfer of patient records, moving patient data between departments or healthcare providers. l.

  5. Summarising and Coding Patient Records: The role involves summarising patient information and accurately coding medical records for data entry into systems. This requires knowledge of coding systems and an understanding of patient care documentation.

  • Liaise with external agencies (hospitals, community services) for referrals
  • Type letters, reports, and documentation as needed
  • File and store records
  • Process calling letters
  • Enter data for new/temporary registrations and patient info
  • Scan patient documentation and attach to healthcare records
  • Input data into patient healthcare records
  • Action GP2GP tasks
  • Process incoming test results and refer to relevant clinicians
  • Read code data and clinic diagnoses on System 1
  • Answer and manage incoming phone calls
  • Perform system searches as requested
  • Assist clinical staff with general admin tasks
  • Process DNA letters per protocol
  • Summarise incoming patient records

  • Process external referrals via electronic referral system (ERS)
