Job summary
We are a 2 Partner GP practice looking for a friendly and reliable medical receptionist to join our small, friendly team. This is a 6-month fixed term position but there may be a possibility that there will be the opportunity for this to become a more permanent position.
As the first point of contact within the surgery this role is integral to our approach to patient care, greeting and supporting patients and their carers both face to face and on the telephone. It also includes administration duties.
We would like you to work 25 hours a week (plus cover for any holidays or sickness), ranging between 8am up until 7pm. We are an EMIS practice and use other platforms docman10x and accurx.
Experience in working in a GP surgery is preferred; however training will be available for the right candidate.
Experience of working with the public (preferably in a busy reception environment), be reliable, have good customer service & computer skills is required.
The role would suit someone with a friendly and approachable demeanour, ability to problem-solve and willingness to help/support both patients and colleagues.
Main duties of the job
a. Maintaining and monitoring the practice appointment system
b. Process personal, telephone and e-requests for appointments
c. Answer incoming phone calls, transferring calls or dealing with the callers request appropriately
d. Signpost patients to the correct service
e. Ensuring requests for repeat medications are processed accurately and efficiently
f. Initiating contact with and responding to, requests from patients, team members and external agencies
g. Process incoming and outgoing mail
h. Photocopy documentation as required
i. File and store records as required
j. Data entry of new and temporary registrations and relevant patient information as required
k. Input data into the patients healthcare records as necessary
l. Scanning of patient related documentation and attaching scanned documents to patients healthcare records
m. Process all DNA letters in accordance with current policy
n. Direct requests for information i.e. SAR, insurance / solicitors letters and DVLA forms to the administrative team
o. Manage all queries as necessary in an efficient manner
p. Maintain a clean, tidy, effective working area at all times
q. Monitor and maintain the reception area and notice boards
r. Support all clinical staff with general tasks as requested
