Job summary
The Branch Lead Medical Receptionist is responsible for ensuring the smooth and efficient running of the reception and administrative teams at the branch sites. The role is to lead and support the reception team, allocate and oversee daily tasks, and act as the first point of contact for escalation of queries. The role involves working closely with the management team to maintain high standards of patient care, ensuring that workflows (appointments, telephone calls, document handling, etc.) are managed effectively, and that practice policies and procedures are followed.
In addition, the Branch Lead Medical Receptionist provides support to the GPs, assisting with administrative needs and facilitating the smooth operation of clinical activities. The role also supports the maintenance of the branch premises by identifying and reporting any issues promptly to ensure a safe and well-functioning environment.
The position combines front-line reception duties with leadership responsibilities, providing guidance, training, and feedback to the team to help deliver safe, timely, and patient-centred services.
The role requires flexibility and the ability to adapt quickly to unexpected changes and new situations.
This is a full-time role over 5 days Monday - Friday
Main duties of the job
This role serves as the first point of contact for patients, staff and visitors, delivering a professional, efficient, and compassionate service both in person and by phone. Responsibilities include managing appointments, processing home visit requests, and overseeing patient registration to ensure a smooth and supportive experience. The role encompasses handling private service payments, prescription requests, and maintaining accurate patient records in line with practice protocols.
Administrative duties include managing correspondence, supporting daily operational procedures, maintaining reception and office standards, and liaising with facilities and IT services to ensure the effective running of systems and premises. The postholder will coordinate rotas, petty cash, and non-clinical supplies while providing flexible administrative and HR support, including assisting with recruitment and training.
The position also involves contributing to clinical support processessuch as monitoring vaccine fridge temperatures and managing specimen transferswhile ensuring compliance with all health, safety, and confidentiality requirements. As a key contact for internal and external stakeholders, this role plays an integral part in supporting the smooth, safe, and efficient operation of the practice.
