Job summary

This is a crucial role in ensuring the smooth operation of the reception and administrative areas of the organization. This position is often the first point of contact for visitors and clients, making it vital for creating a positive first impression.

Main duties of the job

  • Answering the telephone and conveying messages

  • Sorting the mail and post (incoming outgoing)

REPORTS TO: PRACTICE MANAGER

HOURS: 8AM-12PM (20 hours per week)

Job summary:

Responsible for ensuring the smooth running of the reception and admin area .

Job responsibilities:

Reception duties:

  • Answering the telephone and conveying messages
  • Booking different appointments for patient
  • Accepting requests for repeat prescriptions
  • Sorting the mail and post (incoming outgoing)
  • Scanning clinical letter and workflow management
  • File e-consult and triage appropriate clinician
  • Patient registration
  • Photocopying insurance medicals and reports, and maintaining record book and files
  • Arranging transport for patients
  • Charging patients the appropriate amount for private work, providing a receipt to the patient and recording the charge in the petty cash book
  • Helping with the sorting of filing in new medical records in order that they are in the form used in the practice
  • Arrange Postnatal appointment
  • Any other general admin duty

Health & safety:

The post-holder will assist in promoting and maintaining their own and others health, safety and security as defined in the practice health & safety policy, the practice health & safety manual, and the practice infection control policy and published procedures. This will include:

  • Using personal security systems within the workplace according to practice guidelines
  • Identifying the risks involved in work activities and undertaking such activities in a way that manages those risks
  • Making effective use of training to update knowledge and skills
  • Using appropriate infection control procedures, maintaining work areas in a tidy and safe way, free from hazards
  • Actively reporting health and safety hazards and infection hazards immediately when recognised
  • Keeping own work areas and general / patient areas generally clean, assisting in the maintenance of general standards of cleanliness consistent with the scope of the job holders role
  • Undertaking periodic infection control training (minimum annually)
  • Reporting potential risks identified
  • Demonstrate due regard for safeguarding and promoting the welfare of children.
