Job summary

We are looking for an enthusiastic and self-motivated Medical Secretary to join our friendly practice team.

The ideal candidate would have experience of using SystmOne, good sound knowledge of medical terminology, and have worked as a Medical Secretary within the NHS.

You must be accurate, have good communication skills, be a team player, and also be able to work flexibly in the absence of colleagues.

Main duties of the job

You will need to have previous medical secretarial and administrative experience, preferably in a health care setting.It is essential that you have strong IT skills, a good level of general education, an extensive knowledge of Office and Outlook (including Word, Excel, PowerPoint, email and internet) along with advanced typing/word processing qualifications/skills.

You will need to have excellent communication, interpersonal and organisational skills. It's important that you are flexible, able to act on your own initiative and work both independently and as part of a team. You must be able to work under pressure to tight deadlines and prioritise workloads as well as being positive and enthusiastic.

About us

Lister Medical Centre is based in Harlow, Essex.

We are a well-established, friendly teaching practice, and our dedicated team includes 8 GPs, 4 Emergency Care Practitioners, 3 Practice Nurses, 2 Nursing Associates, 2 Physician Associate, 4 HCAs and 17 admin/support staff. We have been providing a full range of GP services for over 30 years and have a patient list size of over 21,000 patients.

As a teaching practice, we have Foundation Doctors and Students from Cambridge University based with us.

We are situated in a purpose-built health centre close to local amenities.

Hours of work: 30-37.5 per week

Renumeration: £12.80 per hour

1. Processing of task requests received from All Staff including GPs & Clinical Staff- examples include:

- 2ww-CWT, urgent and routine referral

- Pathology requests-results

- Community referrals

- ADHD-ASD referral

- Advice & Guidance Requests

- Private Referral Requests

2. Ensuring all referrals are processed in a timely manner as per practice guidelines

3. Using Accurx triage system to process requests received

4. Daily checks of choose & book work lists on e-referral system:

- Rejected referrals

- Further information required

- Check advice & guidance replies update GP-clinician

5. Workflow document management action requests received

6. Dictation using Lexacom system

7. Receive incoming and initiate outgoing telephone calls in order to facilitate timely and appropriate communications with others, taking messages and dealing with appropriate queries.

8. Processing external safeguarding requests

9. Actioning notification of Death and Coroners requests

10. Action emails in Secretary's and Practice inbox

11. Liaising with consultants and their secretarial teams

12. Provide cover for members of the secretarial team during periods of sickness and annual leave.

13. Work closely with other departments to ensure the best care for the patient
