Receptionist who is an enthusiastic team player, motivated and genuinely

This role is 15.75 hours per week. The shifts are: Mondays 2 - 6.30pm, Wednesdays
7.30am - 1pm and Fridays 7.30am - 1.15pm. There are extra ad hoc hours
available fairly regularly, to cover staff absence. This job may be

Main duties of the job
At St Peters Medical Centre, our
receptionists are highly valued as they are the face of our GP surgery, where first
impressions of our service are created. You will be the central point of contact
for all who attend in person, telephone or communicate with us online. You will,
therefore, be an ambassador for St Peters Medical Centre, and all that we
stand for as an organisation in the way we seek to serve our patients and our
community.
Your role will include
the distribution of information, messages and enquiries for the clinical team,
liaising with multi-disciplinary team members and external agencies such as
secondary care and community service providers.
You will be
responsible for undertaking a wide range of reception duties including, but not
limited to:
- assisting and directing patients, in
person and on the telephone
- taking appointment requests from
patients who are not able to use our online platform (including enquiring about
their medical needs)
- assisting to resolve patient queries on a range of matters
- monitoring and responding to emails
and online requests from patients and third parties
- booking appointments in line with
protocols
- liaising with our triage team, wider
clinical team and admin team regarding patient needs and requests
- confidential and secure processing of
information
- supporting clinical staff with
requests as needed
- generally assisting with the safe,
efficient and smooth running of the daily activities of the surgery
About us
St Peters Medical Centre
is a highly rated GP surgery in the heart of the community of West Harrow. We
are located within the premises of St Peters Church, a thriving and active
Anglican church. It was members of the church who were instrumental in opening our
medical centre in 1992. They wanted to provide a proactive and practical way of
demonstrating care to the community. We enjoy a strong partnership with the church, along
with many other local organisations, and seek to serve the local community as

We have a well-trained and enthusiastic team of
around 35 employees (mostly part-time), who care for over 9,600 patients. We
have 4 partners and a well-connected multidisciplinary team of GPs, Nurses,
Pharmacists, GPAs and HCAs. We are a teaching practice, meaning that we have a
strong culture of learning and development. We are an active part of the Sphere
PCN in Harrow.

Responsibilities
The following are the core
responsibilities of a Receptionist. There may be, on occasion, a requirement to
carry out other tasks. This will be dependent upon factors such as workload and
staffing levels:
- Process
in-person, telephone and online requests for appointments
- Taking
requests for appointments / assistance from patients who are not able to use
our online platform themselves, including asking about their presenting medical
need and recording this accurately in the online platform
- Answer
incoming phone calls from patients, third parties and external agencies,
transferring calls or dealing with the callers request appropriately
- Signpost
patients to the correct service
- Action
incoming emails and correspondence as necessary
- Initiating
contact with and responding to, requests from patients, team members and
external agencies
- Data
entry of new and temporary registrations and relevant patient information as
required
- Directing
medication requests and queries from both patients and other health
professionals
- Input
data into patients healthcare records as necessary
- Direct
requests for information, i.e., SAR, insurance/solicitors letters and DVLA
forms to the administrative team
