We are looking for an experienced administrator to join our team for 15-25 hours per week, dividing their time between secretarial and administrative tasks. Both job descriptions are provided.

Main duties of the job
We are looking for a skilled administrator to split their time between our administrative and secretarial teams.
Our workflow team use our clinical system (Systm1) to action all letters and correspondence that come into the practice electronically; from discharge summaries, to ambulance callouts to 111 outcome reports.
The role of the workflow administrator is to process clinical correspondence safely, ensuring that it is accurately coded. You will ensure you pass appropriate issues to GPs and other members of the practice clinical team in line with agreed clinical protocols.
Our medical secretary is responsible for sending outgoing referral letters, using the online referral system (ers). We do not use any dictation software, so the creating of referral letters and forms is done in conjunction with our clinicians.

Job responsibilities
You will process practice correspondence (paper, electronic and
email) attaching it to the patient record, Read coding accurately diagnoses,
procedures and investigations, identifying and carrying out actions e.g.
contacting patients to make appointments or completing referrals.
You will identify the complex or
higher risk areas that require input or knowledge from the clinical team. This
includes safeguarding issues. You will work to the agreed practice protocols.
You will undertake the agreed safety checks, investigate
incidents, and identify changes in safety checks.
You will receive feedback positively on your and the team’s work.
Both through the GP Champion (governance lead for Workflow in the
practice) and directly, you will work closely with the practice administrators
and clinical team to ensure that you are providing a safe and high quality
service to the practice.
You will make an agreed work-plan for the team work flowing
following the agreed task times. You will ensure that any shortfalls in
capacity or increases in demand are escalated so that correspondence is
processed within the agreed timescales.
You will identify areas for potential improvement in processes and
systems using the experience of work flowing and analysing the data gathered
through the template and dashboard from practices, making comparisons to
understand what ‘good’ looks like.
You will be part of undertaking experiments to test ideas for
improvement.
You will be responsible for sharing improvements and changes
across the team.

You will have experience in an administrative role preferably in
general practice or in a healthcare environment.
You will have a good knowledge of medical terminology and
preferably Read coding.
You have worked in healthcare environment preferably a GP practice
and have processed clinical correspondence including letters of a high
complexity and containing risk issues and identified accurately and taken
action.
You will be able to read complex correspondence and apply
sometimes complex clinical guidelines, identify the information it contains
that is relevant to risk and complexity, diagnosis, medication changes,
investigations, procedures and identify next actions required.
You will have a good knowledge of Information Governance and Data
Protection.
You
will have good working knowledge and experience of patient clinical systems and
how they are used in General Practice or other primary care or community
services.
You will have knowledge and preferably experience of General
Practice and the environment and challenges they currently face.

using your own initiative and understanding when you need to escalate to ensure
